What are the responsibilities and job description for the Shop Assistant position at Utah Climate Pros?
Shop Assistant / Warehouse & Fleet Coordinator
Utah Climate Pros is looking for a dependable, detail-oriented Shop Assistant / Warehouse & Fleet Coordinator to help keep our HVAC warehouse, inventory, technicians, and company vehicles running smoothly.
This role is ideal for someone who is organized, hands-on, comfortable tracking parts and materials, and willing to take ownership of the day-to-day shop operations. You’ll help manage inventory, coordinate with suppliers, support our HVAC technicians, maintain warehouse organization, and assist with company vehicle tracking and upkeep.
This is a key support role for our install and service teams. When the shop is organized, trucks are stocked, and parts are accounted for, our technicians can do their best work in the field.
ResponsibilitiesInventory & Warehouse
- Manage equipment, parts, tools, and supplies in the shop
- Track all incoming and outgoing inventory
- Maintain accurate records for our in-house crib inventory
- Order and restock inventory as needed
- Receive deliveries and verify parts and materials against purchase orders
- Work with local suppliers such as Ferguson, Allred’s, and other HVAC parts vendors
- Organize, label, and maintain warehouse inventory areas
- Track what goes out on technician trucks versus what comes back
- Help reduce theft, shrinkage, misplaced parts, and inventory discrepancies
- Identify and report missing, damaged, or incorrect parts
- Work with HVAC technicians to make sure they are properly equipped for daily installs and service jobs
- Keep the shop, warehouse, and high-traffic areas clean and organized
- Sweep, tidy, and maintain a professional-looking workspace throughout the day
Technician & Field Support
- Pull parts, equipment, and materials for daily installs and service calls
- Help prepare technicians’ trucks with the parts and supplies they need
- Communicate with technicians about missing parts, inventory needs, or job-specific materials
- Occasionally deliver parts or materials to local job sites using a company truck
- Assist with general shop tasks as needed
Fleet & Vehicles
- Help maintain company vehicles and coordinate regular upkeep through our Bouncie account
- Track oil changes, registrations, inspections, and basic maintenance needs
- Report vehicle damage, maintenance concerns, or safety issues
- Monitor GPS and vehicle tracking compliance
- Help ensure company vehicles are clean, stocked, and ready for use
Qualifications
Qualified candidates should have:
- Strong attention to detail
- Ability to stay organized and follow inventory processes
- Basic proficiency with Excel or Google Sheets
- Clean driving record
- Ability to pass a background check
- Valid driver’s license
- Dependable transportation to and from work
- Good communication skills
- Ability to lift and move HVAC parts, tools, and materials as needed
- Willingness to help wherever needed to keep the shop running smoothly
- Ability to take ownership of inventory accuracy and shop organization
Preferred Experience
Not required, but helpful:
- HVAC parts or warehouse experience
- Inventory management experience
- Fleet or vehicle coordination experience
- Experience working in a construction, trade, warehouse, or service company environment
- Familiarity with purchase orders, packing slips, invoices, parts tracking, or supplier ordering
- Experience with basic spreadsheets, inventory logs, or warehouse systems
Ideal Candidate
The ideal candidate is reliable, detail-oriented, and not afraid to jump in wherever needed. This person should be comfortable working both on the computer and in the shop.
This is not a sit-behind-a-desk-all-day role. You’ll be checking parts, entering inventory, organizing shelves, working with technicians, communicating with suppliers, keeping the shop clean, and helping make sure company vehicles are maintained and ready to go.
The right person will understand that missing parts, inaccurate counts, or disorganized trucks can slow down an entire install crew. We need someone who takes pride in keeping things accurate, clean, and running the right way.

- Full-time preferred
- Occasional schedule flexibility may be needed based on install and service needs
