The Division of Clinical Research provides infrastructure support for all aspects of clinical research.

The primary purpose of the Patient Services Coordinator position is to perform operational and clinical tasks including but not limited to patient appointment and consult scheduling; scheduling diagnostic tests, expediting clinic flow, accurate processing and completion of charge captive tasks and assisting in invasive identification and authorization. Requires knowledge of and execution of selected tasks related to direct patient care. Operations and clinical support are the major function of this position. Requires flexibility and the ability to function in multiple patient support capabilities as delegated by the charge nurse or center management team.

Candidates should have experience managing high patient volumes and busy reception areas, along with proficiency in patient scheduling systems. Strong organizational skills, the ability to effectively prioritize multiple tasks, and a commitment to delivering outstanding patient service are essential for success in this role.

Minimum $19.23/hour - Midpoint $24.04/hour - Maximum $28.85/hour

Work Location: Texas Medical Center

The typical work schedule is Onsite 9:30am-6:00pm.

Responsibilities

Patient Interaction

  • Greet, orient, and answer questions from patients and visitors
  • Provide consistent updates to patients regarding unit status
  • Schedule patient visits, diagnostic tests, treatments, and procedures
  • Assist in maintaining a safe environment for patients, co-workers, and visitors
  • Distribute pagers to patients when the unit is full

Communication With Patients & Multidisciplinary Team

  • Notify physicians and research teams when orders are needed
  • Manage scheduling requests in a timely and efficient manner
  • Communicate appointment details, scheduling information, preparation instructions, and changes to patients, families, physicians, research team members, and other centers
  • Deliver information through in-person interactions, phone calls, mail, online applications, and secure messaging
  • Notify research teams when patients do not arrive for appointments within four hours
  • Provide consistent updates to the ORS System, Lab Tracker, and/or ARMADA

Record Maintenance

  • Prepare and maintain appointment templates electronically and/or manually as directed
  • Prepare and maintain patient records electronically and/or manually as directed
  • Submit CTRC scanned nurse logs, DPA documentation, and sign-in forms to the appropriate folders
  • Complete patient packs for next-day appointments
  • Pull orders and provide patient labels as directed
  • Maintain scheduling work queues and EKG logs

Operational Support

  • Maintain rounding logs and patient room/nurse assignment logs
  • Ensure early bird forms and chemotherapy books are available in the lobby for patients
  • Support clinic flow and operational efficiency across the unit
  • Perform operational and clinical support activities as delegated by the charge nurse or center management team
  • Function in multiple patient support capacities with flexibility and professionalism

Other Duties

  • Perform additional duties and special assignments as directed

EDUCATION

  • Required: High School Diploma or Equivalent
  • Preferred: Associate's Degree

Work Experience

  • Required: Three years Relevant work experience
  • Preferred: Prior experience managing high patient volumes and busy reception areas, along with proficiency in patient scheduling systems
  • Additional education may be substituted for required experience on a one-to-one basis.

Other Requirements

  • Required: Must pass pre-employment skills test as required and administered by Human Resources
