What are the responsibilities and job description for the Medical Staff Assignment Office Coordinator position at UT Health Austin?
Who You Are
You’re a detail-driven, systems-savvy professional who thrives at the intersection of clinical operations, scheduling complexity, and impeccable customer service. You understand how provider availability directly impacts patient access, and you take pride in keeping schedules accurate, aligned, and operating smoothly.
You’re confident working in an EHR, comfortable managing high-volume scheduling templates, and ready to collaborate closely with clinical and administrative partners. You think critically, communicate clearly, and naturally anticipate issues before they interfere with patient care. You enjoy optimizing workflows as much as supporting people — and you’re at your best in a role where accuracy, partnership, and operational excellence truly matter.
You have:
- A bachelor’s degree in Business Administration, Healthcare Administration, Public Health, or a related field — or equivalent experience.
- 4 years of administrative experience in clinical operations or healthcare scheduling.
- Preferred experience with Epic or another major EHR.
- Preferred exposure to project management, change management, or performance improvement in a clinical environment.
What You’ll Do
In this role, you’ll ensure that provider schedules across UT Health Austin remain accurate, accessible, and aligned with best practice — ultimately supporting patient access and the delivery of exceptional, person-centered care.
You will:
- Manage and fulfill provider scheduling template builds and modifications in the EHR.
- Support lifecycle management of templates across multiple specialties, clinics, and service lines.
- Monitor appointment access, evaluate scheduling requests, and escalate when needed to maintain standards.
- Track provider time-off and faculty availability, ensuring clean, compliant data.
- Maintain change logs, version histories, and reporting for scheduling updates.
- Troubleshoot scheduling conflicts and coordinate solutions with clinic leadership.
- Serve as a central liaison between clinical and administrative teams, promoting aligned, efficient scheduling practices.
- Provide excellent customer service to providers, staff, and stakeholders.
- Contribute to continual process improvements that enhance operational efficiency and provider satisfaction.
- Mentor less-experienced staff and support professional development within the team.
