Duties
- Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
- Handle multi-line phone systems with professionalism, providing exceptional customer service and front desk support
- Maintain organized filing systems for both digital and physical documents, ensuring easy retrieval of information
- Prepare accurate spreadsheets and reports using Excel
- Support office management activities such as supply ordering, data entry, proofreading, and document processing
- Communicate effectively with Union Members and must be bilingual and speak with Spanish with Latino members while demonstrating excellent phone etiquette
- Perform clerical tasks such as data entry, filing, and document proofreading to ensure accuracy and efficiency
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Excel for bookkeeping tasks; familiarity with bookkeeping principles is a plus
- Excellent computer literacy including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
- Strong communication skills with the ability to handle phone communication professionally in a bilingual environment (Spanish/English or other languages) preferred
- Experience managing multi-line phone systems and front desk responsibilities in a busy office setting
- Demonstrated ability to multitask effectively while maintaining attention to detail and productivity software proficiency
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
- Ability to manage time efficiently, prioritize tasks effectively, and adapt to changing office needs
