The Gift Administrator I plays an important role in supporting the Finance and Gift Administration functions through the accurate and timely receiving, recording, receipting, reconciling, and maintaining of charitable gifts to the U.S. Naval Academy, the U.S. Naval Academy Foundation, and the U.S. Naval Academy Alumni Association. This position is responsible for gift and pledge entry, donor receipting, donor record updates, and related reconciliation activities, while also serving as a point of contact for donors, development staff, and internal stakeholders. The ideal candidate is detail-oriented, organized, customer-service focused, and comfortable managing high-volume, deadline-driven work with accuracy and professionalism. This is a non-exempt position reporting to the Director, Gift Administration under the direction of the Finance Department, and has an hourly range of $23.85 to $29.81.

This position offers a competitive salary commensurate with experience and the opportunity to participate in the organization's annual bonus program, when eligible. Bonus awards are discretionary and not guaranteed. You would also be eligible for a generous benefits plan which includes medical, dental, vision, an FSA, an HSA, a fully-vested 403(b) retirement plan with employer matching, 22 days of accrued paid time off (PTO) per fiscal year, 14 paid holidays per calendar year, group life insurance, short-term & long-term disability, identity theft protection, and annual opportunities for professional development. Although not guaranteed, certain additional benefits may be offered through the Naval Academy, such as use of certain recreational facilities (including the Brigade Sports Complex gym, marina and indoor/outdoor pools), as well as category II eligibility for employee children to apply to the Naval Academy Primary School.

Qualifications

  • Minimum one year of experience in data entry, financial processing, database administration, customer service, nonprofit fundraising, or related work.
  • Proficiency in Microsoft Office applications, particularly Excel and Word, and the ability to learn CRM and database systems.
  • Experience with Blackbaud CRM or a similar donor database preferred.
  • Familiarity with nonprofit fundraising, advancement operations, or charitable gift processing preferred.
  • Strong attention to detail, organizational, analytical, and problem-solving skills, with the ability to manage multiple priorities and deadlines.
  • Excellent communication and customer service skills, with the ability to work effectively with donors and internal stakeholders.
  • Ability to work independently and collaboratively while following established policies, procedures, and internal controls.

Responsibilities

  • Process and record gifts, pledges, recurring gifts, EFTs, stock gifts, matching gifts, donor advised fund gifts, and other charitable contributions accurately and timely.
  • Review, reconcile, and validate gift transactions, batches, deposits, and related documentation to ensure accuracy and compliance with departmental procedures.
  • Maintain accurate donor, pledge, and constituent records within the CRM database, including data entry, updates, research, and record maintenance.
  • Generate and distribute donor receipts and respond to donor and internal stakeholder inquiries regarding gift processing and donor records.
  • Research donor intent, unidentified gifts, and other transactions requiring additional review or documentation.
  • Process incoming mail, prepare deposits, and maintain supporting documentation related to charitable gifts and donor records.
  • Maintain documentation and support audits, reconciliations, internal controls, data integrity, and compliance initiatives.
  • Collaborate with Finance, Advancement, Development, Stewardship, Information Technology, Alumni Association, Foundation staff, and external constituents to support gift administration operations.
  • Support high-volume gift-processing activities during fiscal year-end, calendar year-end, annual giving campaigns, and other peak periods.
