Title: Administrative Assistant to Superintendent
Schedule: 8 hours per day / 261 days per year

Purpose and Objectives of the Position: The Administrative Assistant to the Superintendent assists the Superintendent with paperwork and work projects so the administrator may devote maximum attention to the central problems of education and educational administration. To accomplish these tasks, the Administrative Assistant to the Superintendent works closely with the staff and administration, handles confidential information, and frequent contact with all levels of district employees, outside agencies, and the general public.
I. Essential Job Functions:

- Ability to perform secretarial duties associated with a busy, yet productive and smoothly-run Central Office and work closely with all
- Ability to ensure all activities conform to district
- Prepare correspondence, forms, reports, for the Superintendent.
- Ability to maintain accurate and organized records and files as required, including:
- In-district transfers and out-of-district student database
- Shawnee Heights Foundation database, correspondence, meeting minutes, scholarships, classroom grants, receipting for funds.

- Ability to communicate and work effectively and cooperatively with members of the school district and commu

II. Physical Requirements/Environmental Conditions:
- Requires prolonged sitting or standing, and use of equipment including repetitive motions and computer eye fatigue.

III. General Responsibilities:
- Ability to take and transcribe dictation of various types and compose correspondence as necessary. Process incoming/outgoing correspond
- Knowledge of S. Mail procedures and perform mail room duties as required.
- Ability to screen incoming calls or direct them to the appropriate administrator to accommodate their needs and record messages for the
- Ability to direct patron calls/visits regarding district-wide problems, concerns, and/or questions to the appropriate administrator.

- Ability to prepare and organize agenda materials for USD 450 Board of Education meetings, including distribution to Board members, administrators, school sites and local
- Assists the Superintendent in providing the Board of Education members pertinent information and telephone communication when circumstances require immediate
- Ability to distribute notification of meetings to Board of Education members, Administrators, Superintendent’s Curriculum Cabinet, Parent Advisory Council, and Teacher Advisory

Knowledge, Skills and Abilities Required:
- High school diploma or
- Two years office experie
- Proficient keyboarding, word processing, proofreading, and file maintenance
- Knowledge of school district organization, operations, and administrative policies
- Excellent organizational, communication, and interpersonal
- Ability to use personal computer and software to develop spreadsheets and database
- Knowledge and ability to operate office machine
- Ability to observe and follow all school district policies at all ti
- Ability to react to change and frequent interruptions in a productive and positive manner, meeting deadlines as assign
- Ability to implement and follow all district health and safety policies, including all precautions of the Bloodborne Pathogens Exposure Control
