Responsibilities

• Referral Clerk serves as the primary clerical role of the practice. The Referral Clerk calls patients to remind them of scheduled appointments, reschedule no-show appointments, and verify demographic information for billing purposes, such as correct address, email, and insurance information.
• Maintains a working understanding of the most common payers, including how to identify in-network and out-of-network coverage and a basic understanding of deductibles and co-pays, to support meaningful discussions with patients. Works to collect time-of-service payments toward co-pays and previous balances.
• Obtains and verifies demographic and insurance information at the time of service.
• Verifies insurance through individual insurance carrier websites or other platforms to obtain required information or authorization and documents necessary information for billing purposes.
• Checks patients into and out of clinic and ensures follow-up visits are booked prior to leaving.
• Coordinates meal service for DSME classes by retrieving prepared lunches from the hospital kitchen, setting up the meal for class participants, and assisting staff with meal service.
• Keys all charges into computerized billing system.
• Answers patients' inquiries regarding fees and payments.
• Prints bills on demand for patients requesting them at time of service.
• Tracks encounter tickets daily to ensure that all clinical activities are posted, that no-show and canceled patients are correctly recorded on both the information system and medical records for compliance purposes, and that charges, payments, and deposits balance.
• Follows appropriate cash handling policies and procedures.
• Answers telephone inquiries and provides information regarding DSME classes and MNT services, available appointment times, directions, and billing requirements.
• Screens telephone calls and connects patients to staff most qualified to handle inquiries deemed outside the scope of this position (i.e., medical, legal, or compliance issues) in accordance with policies.
• Supports completion of the medical records with scanning, filing records, obtaining outside records at the request of the practice daily.
• Ensures patient confidentiality
• Completes all mandatory department, educational and hospital requirements
• Adheres to current Infection Control and Safety Standards
• Regular and prompt attendance
• Ability to work schedule as defined and overtime as required

Additional Information

Employees must be in a regular position, working 20 hours or more per week (.50 FTE or greater) to qualify for benefits.

Qualifications

• High School Diploma or equivalent and 2 years of clerical or secretarial experience Required
• Medical office experience Preferred
• Comparable combination of education and experience may substitute for the above requirements.
