We are seeking a detail-oriented and experienced Payroll Coordinator to join our team near Buffalo, NY. This role is responsible for processing weekly payroll in a fast-paced traffic control environment. As part of a growing company with multiple branch locations, the ideal candidate must have strong expertise in certified payroll, prevailing wage requirements, and New York State labor laws, and thrives in a high-volume, deadline-driven setting.

This is an on-site position based near Buffalo, NY, supporting a dynamic traffic control operation. The role requires flexibility and efficiency to meet weekly payroll deadlines.

Position Summary
We are seeking a detail-oriented and experienced Payroll Coordinator to join our team near Buffalo, NY. This role is responsible for processing weekly payroll in a fast-paced traffic control environment. As part of a growing company with multiple branch locations, the ideal candidate must have strong expertise in certified payroll, prevailing wage requirements, and New York State labor laws, and thrives in a high-volume, deadline-driven setting.
Key Responsibilities
- Process weekly payroll for 100 employees accurately and on schedule
- Assist with preparing certified payroll reports in compliance with federal, state, and local requirements
- Ensure compliance with prevailing wage laws and proper classification of employees
- Perform high volume data entry, including detailed job and project information into the payroll system
- Maintain and audit employee time records. Requires entry of correct prevailing wage rates based on job classifications and project requirements
- Administer deductions, garnishments, and taxes accurately
- Ensure compliance with New York State payroll and labor regulations
- Reconcile payroll discrepancies and resolve employee inquiries in a timely manner
- Maintain payroll records and ensure confidentiality of sensitive information
- Work closely with operations and HR to ensure accurate job costing and workforce tracking
- Assist with reporting, audits, and year-end processes (W-2s, etc.)
- 5 years of payroll experience, preferably in construction, traffic control, or similar field environment
- Strong experience with certified payroll and prevailing wage requirements (required)
- Familiarity with project-based/ multi-rate payroll
- Solid understanding of New York State wage and hour laws
- Experience processing high-volume, weekly payroll cycles
- Proficiency in payroll systems and Microsoft Excel
- Excellent attention to detail and organizational skills
- Ability to prioritize and meet strict deadlines in a fast-paced environment
- Strong communication and problem-solving skills
