Role Overview
US Tiger Securities, Inc. is seeking a full-time Office Administrator to keep our New York office running smoothly and welcoming. This is an on-site, front-facing role responsible for reception, day-to-day office operations, vendor coordination, and the logistics behind office events. The ideal candidate is organized, personable, and proactive, with a professional demeanor and a hands-on approach to keeping the workplace well-stocked, well-run, and guest-ready.
Key Responsibilities
- Serve as the first point of contact at the front desk: greet and check in guests and visitors, and direct them appropriately.
- Answer, screen, and route incoming phone calls; receive and distribute mail, packages, and deliveries.
- Keep the pantry, kitchen, and office and stationery supplies fully stocked; monitor inventory levels and reorder as needed.
- Source, contact, and coordinate with vendors and service providers (office supplies, pantry, catering, facilities, and building management).
- Schedule and coordinate meetings, manage conference-room bookings, and support calendar and logistics needs.
- Plan and set up the logistics for office events, including coordination, catering, room setup, and vendor arrangements.
- Maintain a clean, organized, and professional office environment, and liaise with building management on facilities matters.
- Provide general administrative support, including filing, data entry, and preparing basic reports or presentations.
- Maintain polite and professional communication via phone, email, and in person.
- Handle ad hoc administrative and office-management projects as assigned.
Qualifications
- Bachelors degree, or equivalent experience.
- Prior experience in office administration, reception, or a related administrative role.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational, multitasking, and time-management skills, with strong attention to detail.
- Strong interpersonal and communication skills, with a professional and welcoming demeanor.
- Ability to prioritize effectively, work independently, and handle sensitive information with discretion.
- Professional proficiency in English and Mandarin Chinese.
Preferred Qualifications
- Prior experience in a financial services or corporate office environment.
- Experience coordinating office events and managing vendor relationships.
