The Payroll Specialist performs payroll, accounting, and administrative duties to support various departments within the client. This position ensures accurate, timely employee pay and regulatory compliance by processing timekeeping data, calculating wages, deductions (tax/benefits), and maintaining records. The Payroll Specialist will address payroll discrepancies, support audits, and manage employee inquiries, often requiring knowledge of multi-state wage and hour laws. The chosen candidate will coordinate with Finance and HR departments to process payroll for new hires and terminations. This role handles highly confidential information and requires strong integrity.
Essential Responsibilities and Accountabilities
- Collect and verify hours submitted by employees; coordinate timekeeping and payroll systems
- Calculate regular, overtime, holiday, and paid time off hours
- Calculate prevailing wage hours when applicable
- Process company payroll (including out-of-state) twice monthly; manually and electronically process timecards from all departments
- Use provided tools to double-check entries in ADP
- Reconcile ADP payroll reports for accuracy
- Assist with internal and external payroll audits
Job Specifications – Knowledge & Skills
- 5–7 years of payroll processing experience, with emphasis on manual timesheets
- Proficiency in ADP Workforce Now, Microsoft Excel, and Word
- Basic math, bookkeeping, and accounting skills
- State/federal prevailing wage expertise is a plus
- Strong attention to detail and excellent organizational skills required
