Scheduling / patient coordination
- Schedule, confirm, and reschedule patient appointments based on provider availability, procedure requirements, and office guidelines.
- Coordinate appointment blocks and maintain an accurate provider schedule to support efficient daily flow.
- Make outbound calls and send reminders to confirm appointments and reduce no‑shows.
- Obtain/verify required pre‑visit information (e.g., demographics, referral details) and document updates in the scheduling system.
- Communicate schedule changes to patients and internal teams; escalate urgent scheduling needs per office process.
- Track appointment status and follow up on cancellations, waitlists, and open time slots to optimize the schedule.
- Answer multi‑line phones, route calls, and respond to patient questions with accuracy and professionalism.
- Collect/update patient information and ensure documentation is complete and accurately entered.
- Support front office tasks such as scanning/filing, basic reporting, and coordinating with team members.
- Ensure scheduling documentation is accurate, complete, and updated in real time.
- Maintain confidentiality and handle patient information in accordance with privacy expectations and office procedures.
Scheduling Skills & Experience
- 1 year experience in appointment scheduling, customer service, reception, or a similar role (healthcare preferred).
- Comfort managing high call volume and rapid schedule changes while maintaining accuracy.
- Strong attention to detail and ability to prioritize in a fast‑paced environment.
- Experience using scheduling software and standard office tools (email, calendar, spreadsheets).
- Clear, professional communication and de‑escalation skills.
