Resident Services & Communications
- Serve as the primary point of contact for resident inquiries, concerns, and requests via phone, email, and in-person interaction.
- Answer and manage incoming calls in a professional, courteous, and timely manner; triage and direct issues appropriately.
- Respond to resident complaints and work toward prompt, effective resolutions while maintaining positive relationships.
- Process maintenance work order requests submitted by residents and coordinate with the maintenance team for follow-up.
- Interact respectfully and effectively with residents from diverse backgrounds and with varying physical, cognitive, and mental health needs, demonstrating patience, compassion, and strong interpersonal skills.
- Assist with the leasing process including responding to prospective resident inquiries, scheduling showings, and preparing lease documents.
- Maintain accurate and up-to-date resident files, lease records, and property documentation in compliance with affordable housing regulations.
- Process rent payments, post charges, and assist with collections activities in accordance with company policy.
- Track lease expirations and coordinate renewal notices and documentation with the Property Manager.
- Prepare and distribute resident communications including notices and policy updates.
- Maintain office organization, filing systems, and supply inventory.
- Conduct routine property inspections and report any maintenance, safety, or lease compliance issues to the Property Manager.
- Assist in coordinating unit turnovers including tracking move-outs, scheduling cleaning and repairs, and managing move-in readiness.
- Support vendor and contractor coordination as needed, including scheduling access and confirming completion of work.
- Monitor common areas and shared spaces to ensure properties are clean, safe, and well-maintained.
- Assist in maintaining compliance with affordable housing program requirements, including income certifications and annual recertifications.

- Demonstrate cultural sensitivity and a genuine commitment to resident well-being and dignity.
- Exercise sound judgment and discretion in all resident communications and situations.
- Serve as a trusted resource and point of stability for residents navigating housing-related concerns.
- Minimum 1–2 years of experience in property management, residential leasing, or a related administrative/customer service role.
- Familiarity with affordable housing programs (Section 8, HUD, Tax Credit/LIHTC) is a strong plus.
- Exceptional communication skills — both verbal and written — with a professional and empathetic demeanor.
- Strong organizational skills and the ability to manage competing priorities in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with PHA-Web, Yardi, AppFolio, or similar property management software preferred.
- Ability to interact respectfully and effectively with residents of diverse backgrounds and varying physical, cognitive, and mental health needs.
- High school diploma or equivalent required; associate’s or bachelor’s degree in a related field preferred.
- Valid driver’s license preferred for occasional travel between properties.
