Customer Service & Data Entry Specialist

Position Overview:

US Foot & Ankle Specialists is looking for a friendly, dependable Customer Service & Data Entry Specialist to provide clerical and customer service support to our Foot Orthotics Department. This position is primarily responsible for processing and entering orthotic work orders from our online portal into our internal database.

The role will also help answer incoming phone calls, provide basic order status information, and direct calls to the appropriate team member. Call volume is generally low, but we are looking for someone who is friendly, professional, and comfortable speaking with patients, offices, and other callers.

This is a great opportunity for someone who is organized, detail-oriented, dependable, and comfortable working on a computer. Previous healthcare or orthotics experience is not required. We are willing to train the right person on our systems and processes.

Required Education, Skills and Experience:

• High school diploma or equivalent
• Previous experience in data entry, customer service, reception, clerical support, or a similar role preferred.
• Comfortable using a computer and learning new software and systems.
• Strong organizational skills with the ability to multitask and prioritize workload.
• Excellent communication and interpersonal skills for working with staff, vendors, and clients.
• Attention to detail and ability to maintain accurate records.
• Basic knowledge of billing, purchasing, and inventory management processes is a plus but not required.
• Ability to maintain confidentiality and handle sensitive information with professionalism.

Essential Functions/Responsibilities (other duties may be assigned):

• Process orthotic work orders received through the online portal.
• Enter and maintain accurate order information in the department's internal database.
• Export and organize work order information as needed.
• Review information for accuracy and follow up on missing or incomplete information.
• Answer incoming phone calls and provide basic information regarding orthotic orders.
• Route calls and messages to the appropriate team member when needed.
• Respond to basic inquiries from offices, staff, and other callers in a friendly and professional manner.
• Maintain organized electronic and paper records as needed.
• Assist with general clerical tasks to support the Foot Orthotics Department.
• Communicate with lab and office staff to help ensure orders move through the process efficiently.
• Maintain confidentiality of patient and company information.
• Perform other duties as assigned to support the department.
