Job Overview
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and ensure smooth administrative functions. The Office Administrator will play a key role in maintaining efficient workflows, managing schedules, and fostering a professional office environment.
Responsibilities
- Manage daily office operations, including front desk duties and multi-line phone systems
- QuickBooks Entry: Accurately enter bills into QuickBooks Online/Desktop, ensuring correct vendor names, amounts, bill dates, due dates, and expense accounts (coding) are recorded.
- Vendor Communication: Communicate with vendors to resolve any invoice discrepancies, payment issues, or missing documentation.
- Oversee calendar management and schedule appointments for staff and executives
- Coordinate event planning and logistics for company meetings, trainings, and special events
- Supervise administrative staff and provide training & development opportunities
- Handle bookkeeping tasks such as invoicing, filing, and maintaining financial records using QuickBooks
- Manage vendor relationships, including procurement and contract negotiations
- Support human resources functions including onboarding, payroll processing, and employee record keeping
- Assist with budgeting processes and expense tracking to ensure financial accuracy
- Maintain organized filing systems both digitally and physically
- Ensure effective communication across departments through phone etiquette and written correspondence
- Support medical office management tasks if applicable
Skills
- Proven experience in office management or administrative roles with clerical or office experience
- Strong organizational skills with the ability to multitask efficiently
- Excellent communication skills, both verbal and written
- Proficiency in QuickBooks, calendar management software, and multi-line phone systems
- Experience in event planning, vendor management, and human resources functions
- Knowledge of payroll processing and bookkeeping practices
- Ability to supervise team members effectively while fostering a collaborative environment
- Skilled in training & development initiatives to enhance team performance
- Capable of managing front desk operations with professionalism and courtesy
- Familiarity with medical office management is a plus but not required
Pay: $16.00 - $17.00 per hour
Expected hours: 40.0 per week
