The Northern Arizona VA Health Care System (NAVAHCS) is recruiting for an Administrative Support Assistant in the Mental Health and Behavioral Sciences (MHBS) Service Line. The primary purpose of the position is to perform administrative support functions to various for varying levels of staff (e.g., full-time, part-time, intermittent and fee-basis), within the MHBS service line at the main campus, Community-Based Outpatient Clinics, and Rural Clinics. EDUCATION: There is no educational substitution at this grade level. RESPONSIBILITIES: Major duties include, but are not limited to:
Provides accurate and reliable information with persons and groups from both within and outside the organization.
Speaks for MHBS leadership on routine program issues, and provides accurate and reliable information.
Acts as support and organization of service/section level committees and workgroups.
Assists with review and preparation for accreditation, surveys, and site visits.
Receives and addresses Veteran complaints coming directly to Mental Health, which is outside the current complaint reporting system.
Screens all telephone calls and visitors, answering most questions and completing most business involving established policy or matters without referring to the supervisor.
Prepares time and attendance reports for service line supervisors upon request.
Collects data for the operating budget and assists Administrative Officer with the preparation of the annual budget.
Serves as timekeeper and/or backup timekeeper for all Time & Leave in the service line.
Provides briefing and/or background information as required.
Develops, maintains, and directs the orientation program for new employees within the service line, and coordinates initial and annual training for service employees as required.
Work Schedule: Monday-Friday, 8:00 am to 4:30 pm

Time-In-Grade Requirement : Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to using a personal computer, terminal, and office software programs to enter data, complete and correct forms; providing routine information and accomplish routine support tasks within an office setting to ensure customer satisfaction; maintaining files and reviews and processes incoming and outgoing materials such as mail, correspondence, reports, memoranda, and other forms of written communication; preparing outgoing correspondence in the appropriate format; utilizing various office applications and software such as word processing, spreadsheet, databases, presentation and email to produce a variety of documents; organizing and maintaining files and records, manuals, handbooks, and other materials related to the missions of the Service.
