Front Desk Receptionist
Position Summary
The Front Desk Receptionist is responsible for providing exceptional customer service while serving as the first point of contact for patients, visitors, and referring providers. This position ensures efficient front office operations by scheduling appointments, verifying insurance, collecting payments, maintaining accurate patient records, and supporting the clinical team in delivering high-quality patient care.
Essential Duties and Responsibilities
Patient Reception
- Welcome patients and visitors in a professional, courteous, and compassionate manner.
- Answer incoming telephone calls promptly and direct calls appropriately.
- Schedule, reschedule, and confirm patient appointments.
- Check patients in and out while maintaining confidentiality.
- Obtain and update demographic, insurance, and emergency contact information.
Insurance & Registration
- Verify insurance eligibility and benefits before appointments.
- Obtain required referrals and authorizations when applicable.
- Scan and upload insurance cards, identification, and required documents into the electronic medical record (EMR).
- Ensure all patient registration forms are complete and signed.
Financial Responsibilities
- Collect co-pays, deductibles, coinsurance, outstanding balances, and self-pay fees.
- Balance daily cash drawer and payment transactions.
- Provide patients with receipts and payment information.
- Explain basic billing policies and direct complex billing questions to the billing department.
Administrative Duties
- Maintain patient records in accordance with HIPAA regulations.
- Process incoming faxes, mail, and electronic correspondence.
- Prepare patient charts and documentation for upcoming appointments.
- Coordinate referrals and communicate with referring physician offices as needed.
- Monitor provider schedules and assist with appointment optimization.
- Maintain an organized, clean, and professional reception area.
Customer Service
- Address patient questions and concerns professionally.
- Communicate appointment instructions and office policies.
- Assist patients with completing required forms.
- Promote a positive patient experience through excellent communication and professionalism.
Qualifications
- High school diploma or equivalent required.
- Minimum of 1–2 years of medical office or healthcare receptionist experience preferred.
- Urology experience preferred but not required.
- Knowledge of medical terminology.
- Experience with EMR/EHR systems.
- Basic understanding of insurance verification and medical scheduling.
- Proficiency with Microsoft Office and standard office equipment.
