Job Summary: The Office and Accounting Adminstrator will play a dual role in our clinic, handling both financial and administrative tasks. This position requires a versatile individual who can manage accounting duties while ensuring the smooth operation of the office.
Duties/Responsibilities:
· Handle administrative tasks to ensure smooth daily operations.
· Answer phones and direct calls to the appropriate individuals.
· Greet visitors and guide them to the appropriate areas.
· Manage multiple or complex calendars for meetings, travel, and personal commitments.
· Make travel arrangements for staff and special visitors.
· Create and distribute memos, reports, agendas, and other relevant materials.
· Handle minor HR issues and serve as a resource for staff inquiries.
· Manage day-to-day facility matters to maintain a functional and safe environment.
· Oversee office supplies and inventory, ensuring timely replenishment and organization.
· Serve as the point of contact for patients, vendors, and staff, fostering positive relationships.
· Represent the organization as an advocate and liaison between clinics, physicians, staff, and administration.
· Support and uphold organizational policies, procedures, objectives, quality improvement initiatives, safety standards, and regulatory requirements.
· Disseminate information, including memos and reports, to the appropriate colleagues.
· Perform all other duties as assigned by Leadership.
Accounting:
· Process accounts payable.
· Assist in processing checks from insurance companies and patients.
· Maintain financial records and ensure accuracy.
· Performs routine accounting activities such as data entry, maintenance of the general ledger, preparation of various accounting statements and financial reports.
· Reviews codes and verifies transactions and journal entries.
· Completes moderately complex calculations using spreadsheets and other software tools.
· Assists with running monthly reports for data analytics and evaluation of metric trends.
Qualifications:
- Associate's degree in Accounting, Business Administration, or related field.
- Proven experience in accounting and office management, preferably in a healthcare setting.
- Proficiency in accounting software and MS Office Suite.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and problem-solving skills.
