URBN is seeking an Employee Relations Support Specialist to serve as an initial point of contact and support for both employees and managers, addressing HR-related inquiries and concerns. This role is responsible for managing and triaging employee issues, ensuring timely escalation to the appropriate Employee Relations team member when necessary. Additionally, with a focus on organizational efficiency, the ER Support Specialist plays a key role helping to streamline employee relations workflows, along with tracking and analyzing key metrics, ensuring responsive and well-managed processes. As an initial assignment, the Employee Relations Support Specialist will also be responsible for working with stakeholders in HR, IT, and other partners to consolidate several HR department email inboxes into one shared inbox.

Role Responsibilities
- Monitor and organize HR email inbox.
- Respond to employees with workplace questions and concerns received through email or phone, ensure awareness of URBN policies and available resources. If further support is needed, triage HR questions and distribute to appropriate HR team member for response.
- Escalate reports of harassment and discrimination, retaliation, wage and hour violations, and other violations of company policy to Employee Relations Manager for investigation.
- Own all employee facing communication and HR actions for store/location closings, including coordination of severance and retention bonuses. Ensure compliance with state and provincial laws regarding final pay and mass terminations.
- Assign accommodation cases in UKG HR service delivery (HRSD) to the appropriate Employee Relations manager.
- Monitor UKG Document Manager for new corrective action cases and notify appropriate Employee Relations Manager. Review weekly reporting and follow up with Employee Relations Managers to ensure timely action of cases.
- Maintain and update HR team reporting, such as monthly HR statistics and survey key term reports.
- Analyze HR data and report out on themes quarterly.
- Regularly audit status of cases reported through URBN’s confidential reporting hotline, Navex, and follow up with Employee Relations team to ensure cases are closed timely.
- Maintain and update HR store alignment sheet.
- Assist with special projects, as needed.
- Stay current with URBN policy, employment law and related issues.
Education and Qualifications
- Some prior experience in HR or Employee Relations roles
- Prior experience handling sensitive employee information
- Exceptional written and verbal communication skills, capable of collaborating with leaders, peers, cross-functional partners
- Excellent interpersonal skills, strong emotional intelligence, and ability to build trust, rapport, and influence with leaders, and employees at all levels of the company.
- Strong organizational and time management skills and the ability to prioritize daily tasks independently.
- Demonstrated experience in fostering diversity and inclusion within the
- Strong critical thinking and analytical skills especially in complex, sensitive, and nuanced situations
- Self-starter, autonomous and ability to own work processes from start to finish
