Position Overview

The CELC Family Coordinator plays a vital role in supporting families and ensuring smooth operations at our licensed early childhood center. This bilingual (Spanish/English) position is responsible for family enrollment, subsidy support, front desk operations, and family engagement activities—all in alignment with Minnesota Department of Human Services (DHS) regulations.

Key Responsibilities

Center Operations & Compliance

  • Staff the front desk on a rotating schedule; provide warm, professional customer service
  • Maintain accurate child and family records per DHS licensing standards
  • Enforce center policies (e.g., late pick-up, non-payment)
  • Translate documents and interpret for families
  • Substitute in classrooms when needed

Enrollment & Subsidy Support

  • Guide families through enrollment and intake processes
  • Assist families with CCAP and Pathways applications and communications with county caseworkers
  • Track subsidy eligibility and redeterminations
  • Maintain confidential documentation and records

Family Engagement

  • Plan and implement family engagement events and monthly newsletters
  • Connect families to Urban Ventures programs and external resources
  • Collaborate with other departments to support holistic family services

Qualifications

Education & Experience

  • Associate’s degree required (Early Childhood Education, Social Work, or related field); Bachelor’s preferred
  • 2–3 years of administrative and family support experience
  • Early childhood experience preferred

Skills & Requirements

  • Bilingual in Spanish and English (verbal and written)
  • Strong organizational and communication skills
  • Familiarity with CCAP, Pathways, and DHS childcare subsidy programs
  • CPR/First Aid certified or willing to obtain
  • Must pass DHS background study and meet physical demands of the role
  • Must pass Background Check to meet physical demands of the role
  • Must have a valid driver’s license with proof of auto insurance. Dependable transportation is required
  • Technologically proficient (Microsoft Office and center-specific systems)

Schedule & Availability

  • Monday–Friday, 8-hour shifts between 7 am – 6 pm
  • Rotating schedule for opening/closing
  • Up to 6 Saturdays/year for events
  • Up to 4 evenings/year for special events
