Title: Deputy Chief of Staff
Department: Office of the President
Supervisor: Chief of Staff
Classification: Full-time Exempt, 1.0 (FTE)
Salary/Hourly Wage: $ 75,000 annually (commensurate with education and experience)
Hours and Location: 40 hours per week, 8am-5pm with some evenings and weekends, hybrid
Scope: The Deputy Chief of Staff works closely with the Chief of Staff in the Office of the President to support the executive in executing strategic initiatives and fostering collaboration across departments and partner organizations. This role requires strong analytical, communication, and leadership skills, as well as the ability to handle a wide range of responsibilities.
DUTIES AND RESPONSIBILITIES:
- Cultivate and maintain relationships with external partners, including policymakers, vendors, donors, and community organizations.
- Represent the organization at meetings, conferences, and other events to enhance its visibility and reputation.
- Collaborate with the Chief of Staff and other team members to identify partnership opportunities, establish departments’ structure, and leverage external resources.
- Coordinate day-to-day operations of the OOP team and events, including high-level administrative functions, program management, and strategic scheduling.
- Serve as a point of contact for department heads and staff members to oversee Office of the President special projects and events.
- Conduct research, analyze data, prepare briefings, testimony, and other communication materials for internal and external stakeholders.
- Coordinate Community Conversations, conferences, and other events involving the executive.
- Monitor project milestones, identify potential risks, and develop mitigation strategies as needed.
- Foster a positive and collaborative work environment that promotes teamwork, creativity, and innovation.
- Coordinate interns to support special projects
- State of Black Oregon coordination
KNOWLEDGE / SKILL / ABILITIES:
- Commitment to and knowledge of social justice issues and the dynamics of social change, the history, and mission of the Urban League of Portland, and expertise in the present scope of Urban League service and advocacy programs.
- Demonstrated computer skills and proficiency in Microsoft Office Suites with an emphasis on Microsoft Word, Excel, and Outlook programs.
- Strong written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
PHYSICAL REQUIREMENTS:
- Ability to use basic office equipment, telephone, copy machine, fax machine, and computer.
- Ability to sit, stand, walk, drive, talk on the phone, and/or use the computer for extended periods.
- Ability to occasionally move items weighing up to 25 pounds around the work area.
EDUCATION / EXPERIENCE:
- Bachelor's Degree (Advanced degree preferred.)
- OR
- 4 years of related work experience, required
PLUS
- 2 Years of Paid Work doing project management or related experience
- Must possess MS Office Suite work experience with advanced Excel and overall technology skills, required
- Vehicle for daily use, in-state insurance with your name on the policy, and a valid Oregon state license, active for at least one year with an acceptable driving
