Responsibilities
- Manage office supplies, organize files, and maintain accurate records to support daily operations.
- Assist with data entry tasks using Microsoft Office programs, ensuring accuracy and confidentiality of sensitive information.
- create and send our boiler plate purchase order via Docusign to our subcontractors and keep track of them.
- Manage onboarding packets and obtain all of the subcontractor's info,
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoice processing and expense tracking.
- Manage and organize our building plans so they are properly printed upon approval, disseminated to the right subcontractors, ready to place on site, and filed so they are quick and easy to locate.
- Maintain organized filing systems for project documents, contracts, and client information while safeguarding confidential data.
- Provide general administrative support such as proofreading documents, preparing reports, and managing correspondence.
- Create documents to help facilitate the bidding process using drop box or a similar site that allow you to organize specific documents for each sub into a link that can be sent for bidding.
- Manage warranty calls by confirming coverage and then scheduling subcontractors out to the job to do the requested repairs.
Experience
- Prior office experience and relevant clerical or administrative experience is valuable in a construction or real estate environment and is required.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and computer literacy skills are essential.
- A vast knowledge of QuickBooks is required.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
- Proven ability to handle confidential information discreetly while maintaining accuracy in data entry and recordkeeping.
