As our client base continues to grow, we are seeking a detail-oriented Payroll Specialist to support our payroll and compliance services.
Position Summary
The Payroll Specialist is responsible for processing multi-state, multi-client payrolls and ensuring compliance with federal, state, and local payroll regulations. This role works closely with tax and accounting teams to provide accurate and timely payroll services to clients across various industries.
Key Responsibilities
- Process weekly, biweekly, semi-monthly, and monthly payrolls for multiple clients
- Prepare and file federal, state, and local payroll tax filings (Forms 941, 940, state equivalents)
- Process new hires, terminations, wage changes, garnishments, and benefits deductions
- Reconcile payroll reports and payroll tax liabilities
- Prepare and distribute Forms W-2 and W-3 and assist with corrections as needed
- Respond to client payroll questions and provide guidance on payroll compliance matters
- Assist with payroll audits and agency notices
- Maintain accurate payroll records and documentation
- Collaborate with tax and accounting teams on payroll-related matters
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field (preferred)
- 2 years of payroll processing experience, preferably in a public accounting or professional services environment
- Working knowledge of federal, state, and local payroll tax regulations
- Experience with payroll software (e.g., ADP, Paychex, Gusto, QuickBooks Payroll, or similar)
- Strong attention to detail and ability to manage multiple deadlines
- Excellent communication and client service skills
Preferred Skills
- Multi-state payroll experience
- Experience supporting small- to mid-sized business clients
- Familiarity with CPA firm workflows and compliance deadlines
- Ability to identify and resolve payroll discrepancies proactively
