Duties
- Serve as the front desk point of contact, greeting visitors and managing multi-line phone systems with professionalism and courtesy.
- Handle incoming calls with excellent phone etiquette, providing prompt assistance or directing inquiries to the appropriate team members.
- Manage calendar appointments, schedule meetings, and coordinate office events to ensure smooth daily operations.
- Organize and file financial documents, reports, and correspondence efficiently, ensuring easy retrieval and compliance with record-keeping standards.
- Support office management activities including supply inventory, equipment maintenance, and general clerical duties such as proofreading documents and preparing reports.
- Assist with customer support by responding to client inquiries, providing information about services, and ensuring a positive client experience.
Qualifications
- Proven experience in office management, clerical work, or administrative support within a financial or professional services environment.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills.
- Experience with QuickBooks or similar bookkeeping software is highly preferred.
- Excellent organizational skills with the ability to multitask effectively in a busy setting.
- Demonstrated attention to detail in proofreading and document management tasks.
- Strong time management skills with the ability to prioritize tasks efficiently.
- Previous experience working at the front desk or handling multi-line phone systems is desirable.
