What are the responsibilities and job description for the Customer Experience & Operations Coordinator position at Upstate Auto Styling?
About Us
Upstate Auto Styling is a fast‑growing tint, PPF, and ceramic coating shop in Spartanburg. We take pride in doing clean, professional work and giving customers a 5‑star experience every time.
We’re looking for a right‑hand operator to own the front of house: scheduling, customer communication, and day‑to‑day operations so the owner can stay focused on growth and the team.
The Role
This is not a basic admin job.
You will be the person who makes sure:
- The schedule is full and organized
- Customers are taken care of without the owner jumping in
- Problems get solved quickly and turned into better systems
If you like taking ownership, making decisions, and improving how things run, you’ll like this role.
What You’ll Own
Scheduling & Coordination
- Manage the daily and weekly schedule for all jobs (tint, PPF, coatings, detailing)
- Handle confirmations, reschedules, and no‑shows
- Coordinate with the shop manager and techs so jobs start and finish on time
Customer Experience
- Answer calls, texts, emails, and DMs from customers
- Handle questions about services, pricing, and aftercare
- Give updates to customers while their vehicle is in the shop
- Own complaints, rework, and small issues so they don’t reach the owner
Admin & Payments
- Create and send invoices
- Take payments and set up financing if needed (using our tools)
- Help respond to chargebacks or disputes following our policies
Systems & Improvement
- Turn repeated tasks into simple checklists and SOPs
- Look for ways to use our CRM and tools better so things are faster and smoother
- Track basic numbers: bookings, no‑shows, complaints, reviews
Marketing Support (Light)
- Make sure before/after photos and short clips are captured for social media
- Help post simple Instagram stories and basic content following a plan
You’re a Fit If
- You’ve managed scheduling or customer service in a small business (shop, home services, medical office, salon, etc.)
- You like making decisions instead of waiting to be told what to do
- You stay calm with upset customers and know how to turn them around
- You enjoy organizing chaos into clear systems and checklists
- You’re comfortable with basic software/CRMs and can learn new tools quickly
- You communicate clearly, in a friendly and professional way
