THE OPPORTUNITY
We're looking for an Operations Coordinator who will become a central part of our day-to-day success. You'll help keep our office running smoothly, support leadership, coordinate important business operations, and play a key role in shaping the employee experience.
This position is ideal for someone who is organized, proactive, dependable, and eager to build a long-term career in operations. Previous office management experience is not required. We care far more about attitude, initiative, and a willingness to learn than a perfect resume.
As the company grows, there will be opportunities to take on additional responsibilities and grow into more senior operations and leadership roles.
YOUR ROLE
OFFICE OPERATIONS
- Order and manage office supplies, snacks, equipment, and onboarding materials
- Coordinate office maintenance, cleaning, repairs, and vendor relationships
- Manage incoming and outgoing mail, packages, and deliveries
- Keep shared spaces organized, functional, and welcoming
- Support office events, seasonal decorating, and culture initiatives
ADMINISTRATIVE SUPPORT
- Assist with interview scheduling and candidate coordination
- Coordinate travel arrangements, including flights, hotels, transportation, and itineraries
- Support internal meetings, team events, and company offsites
- Help maintain documentation, records, and operational processes
FINANCE & BILLING SUPPORT
- Generate and send client invoices
- Track invoice status and follow up on outstanding payments
- Organize receipts and expense documentation
- Support recurring billing and renewal processes
- Assist with bookkeeping coordination and payment reconciliation
TEAM & CULTURE SUPPORT
- Help coordinate team lunches, celebrations, and office events
- Track birthdays, anniversaries, and employee milestones
- Support onboarding and new hire experiences
- Contribute ideas that improve company culture and employee experience
