Position Overview
The Engineering Operations Associate works closely with the engineering and project leadership team to provide technical documentation, client reporting, scheduling, and coordination of maintenance programs for building systems and equipment.
The position plays a key role in ensuring engineering projects remain organized, compliant, and on schedule by maintaining documentation, organizing maintenance activities, and supporting client deliverables. The ideal candidate combines strong administrative and organizational skills, with familiarity in building systems such as electrical, HVAC, or plumbing.
Key Responsibilities
Engineering & Project Support:
- Work closely with the Project Executives to prepare and edit engineering reports, technical documentation, and client deliverables.
- Compile site assessment reports, maintenance summaries, and operational documentation.
- Organize project documentation, drawings, inspection reports, and supporting files.
- Track project timelines, deliverables, and internal deadlines.
Maintenance Program Coordination:
- Maintain and track preventative maintenance schedules for generator systems and other building equipment.
- Coordinate maintenance visits with vendors, contractors, and technicians.
- Ensure generator registrations, permits, and compliance documentation remain current.
- Track maintenance completion and maintain service records.
Administrative & Operational Support:
- Schedule meetings, site visits, and maintenance activities.
- Maintain internal tracking systems for engineering projects and maintenance programs.
- Prepare proposals, scopes of work, and client-facing documents.
- Internal reporting and operational documentation.
Client & Vendor Coordination:
- Serve as a coordination point between internal teams, vendors, and clients.
- Distribute reports, maintenance documentation, and project updates.
- Ensure client documentation is organized, accurate, and delivered on time.
Qualifications
Required
- 2–3 years of experience in administrative, project coordination, or operations support roles.
- Strong organizational and documentation skills.
- Experience preparing reports or structured documentation.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
Preferred
- Experience supporting engineering, construction, facilities, or technical teams.
- Familiarity with building systems (HVAC, electrical, plumbing, mechanical).
- Experience coordinating preventative maintenance programs or service schedules.
- Experience working with vendors, contractors, or field teams.
