Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately
- Manage manage phone calls, answer inquiries promptly, and route calls efficiently
- Schedule appointments using calendar management tools
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping
- Handle correspondence via email, phone, and mail with professionalism and attention to detail
- Support office management tasks such as supply inventory, proofreading documents, and maintaining cleanliness
- Utilize computer skills such as google workspace and Shopmonkey
- Provide exceptional customer support by addressing client needs promptly and courteously
- Assist with clerical duties such as filing, photocopying, and document proofreading to ensure accuracy
- Support managing basic financial records and invoices
- Track and manage annual regulatory requirements, including permits, renewals, and associated fees (e.g., CUPA, EPA, and other applicable agencies
- Coordinate with management and regulatory agencies to gather required information and complete filings
- Conduct payroll processing and time tracking
- Ability to work independently and as part of a team
- Problem-solving and adaptability
Experience
- Previous office or administrative experience preferred, including clerical or receptionist roles (in automotive settings preferred)
- Strong payroll and time tracking experience (preferred)
- Experience handling multi-line phone systems and providing excellent phone etiquette
- Bilingual abilities are a plus to serve diverse client needs effectively (Preferred)
- Familiarity with office management tasks such as calendar management, data entry, filing, and proofreading
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
