Job Summary:
We are seeking an experienced, friendly, and professional Veterinary Receptionist (Client Service Representative) to join our client-focused, fast-paced veterinary hospital. This role is essential to delivering exceptional service and communication to our clients and patients — often during high-stress or emotional situations. The ideal candidate is warm, organized, confident, and comfortable working both independently and as part of a close-knit team.
Key Responsibilities:
- Greet clients and patients warmly and professionally upon arrival
- Recognize and prioritize emergency cases in person and over the phone
- Coordinate and schedule appointments, including appointment reminders and special instructions
- Process all client payments, refunds, deposits, and credits
- Accurately check clients in and out using Ezyvet
- Respond to client emails, phone calls, faxes, and general correspondence
- Maintain detailed and accurate client/patient records
- Confidently discuss retail products, prescription medications, vaccines, and preventatives with clients
- Educate clients on routine care, services offered, and follow-up procedures
- Collaborate with veterinarians and support staff to maintain smooth daily workflow
Qualifications:
- Must have Minimum 2 year of experience as a veterinary receptionist or in a similar client service role in a medical/veterinary setting
- Knowledge of basic veterinary medical terminology required
- Familiarity with retail products, routine diagnostics, vaccinations, and parasite preventatives
- Proficient in Windows-based computer systems and common office software (email, word processing, web search)
- Excellent communication, multitasking, and problem-solving skills
- Strong ability to remain calm, kind, and efficient in fast-paced or emotionally intense situations
