Job Overview
We are seeking a highly organized and proactive part-time Front Office Assistant to join our dynamic Front Office & Facilities team during the busy summer holiday season. In this role, you will provide essential support in receiving on-site relationships (visitors, customers, and suppliers) while handling our different mediums of communication (telephone, email, etc.) in the most helpful way possible!
The work is performed in close collaboration with our Executive Support team and under the responsibility of our Front Office Manager and our Facility Manager. The Front Office Assistant will provide essential summer holiday coverage in collaboration with other part-time Front Office employees.
Key Front Office responsibilities at our Amsterdam headquarters of 300 employees include:
Reception and care of important daily on-site relationships (visitors, customers, and suppliers) including booking hotels, flights, and trains
Reception and transmission of goods, such as the treatment of global post and packages (opening, registering, sending, track & trace, etc.)
Handling local and international telephone traffic
Planning of UNS agenda including meeting room bookings across our 3 busy Amsterdam buildings
Managing general UNS mailbox
Ordering office supplies
Helping with on-site company events
Providing ad-hoc general support, including team back-up in case of unexpected illness, holidays, etc.
Qualifications and Skills
Working and thinking level: MBO
Experience: 2 years of experience in a receptionist, front office, executive support, or related high-capacity administrative role, preferably in a corporate or international environment
Computer skills (Microsoft Office essential)
Excellent service-oriented oral and written communication: email, phone, and in-person
Integrity, accuracy, and decisiveness
Considerate team player and proactive attitude, finding creative and resourceful big-picture solutions
Being able to multitask while remaining structured and systematic for smooth shift handovers
Languages: Bilingual fluency in English and Dutch is required for daily Facilities support
Please note: this role is set up as a temporary contract with the possibility of extension depending on seasonal workload.
