The HR Coordinator works closely with HR Business Partners to support the daily operations of Human Resources within UWM HR Shared Services. This role serves as a key point of contact for employees across campus and ensures accurate and timely HR processes related to recruitment, onboarding, payroll, benefits, and personnel data. The ideal candidate will have strong attention to detail, a foundational understanding of HR policies and regulations, and excellent customer service and collaboration skills.
Key Responsibilities include, but are not limited to:
Contract Administration & HRIS (45%)
- Support HR Business Partners in coordinating new, continuing, or revised contracts.
- Serve as the primary source for pre-employment and onboarding, including I-9, E-Verify, background checks, and credentialing.
- Review contracts for compliance with UWM and UW System policies; track end dates and coordinate extensions.
- Enter and maintain personnel, position, job, tenure, and profile data in Workday, including additional pay.
- Assist with reporting, audits, and personnel actions (FTE, department, compensation, classification changes).
- Monitor Workday reports and implement necessary corrections.
Employment Support (45%)
- Collaborate with HR Business Partners and other offices on HR procedures such as immigration, salary changes, and overloads.
- Maintain personnel files and ensure compliance with retention guidelines.
- Coordinate recruitments: create and maintain postings, update applicant statuses, and support HR Business Partners.
- Assist with offboarding and direct inquiries to the appropriate parties.
Compliance & HR-Related Support (10%)
- Run system reports for routine and cyclical events, including budget cycles and payroll processes.
- Support special projects that advance HR Shared Services’ strategic objectives.
Additional Information:
- This position does not offer visa sponsorship. Applicants must be legally authorized to work in the United States at the time of hire.
- Selected candidates will be required to complete an I-9 form to verify eligibility to work in the U.S.
- Hybrid work arrangements may be available. Primary work will be conducted on the UW-Milwaukee campus, with remote work requests considered after the initial training period. Details will be discussed during the interview process.
Key Job Responsibilities
- Serves as a point of contact to employees, managers, and internal and external stakeholders. Responds to inquiries and escalates more complex issues to the appropriate authorities
- Schedules logistics and secures resources for recruitment processes, onboarding activities, payroll functions, and/or other HR related activities
- Enters, reviews, and processes HR transactions according to established policies and procedures
- Creates and maintains various HR specific reports, databases, and/or records to ensure compliance with established policies, procedures, and legal rules and regulations
- Manages the dissemination of HR related communications to various audiences under the direction of leadership
- Audits and tracks compliance for various HR functions such as performance evaluations, onboarding, off boarding, criminal background checks, and credentialing
Minimum Qualifications
- A minimum of one year of experience working in a business office or administrative support role
- Experience working with data management, data administration, and/or information systems
Preferred Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and experience by the date of hire
- Experience using human resources information systems (e.g., Kronos, PeopleSoft, Workday, applicant tracking systems)
- Demonstrated understanding of human resources principles and practices related to staffing, onboarding, and employee orientation
- Experience providing customer service, including responding to both routine and complex inquiries
- Demonstrated ability to work effectively and collaboratively with individuals and groups from diverse backgrounds and cultures
- Experience working within a public sector, higher education, or federal organization
Target Salary Range
$44,000 to $48,000 (Final salary offer will be determined based on knowledge, skills, and experience)
