Description

Program Coordination & Administration
  • Collaborate with the Department Chair to support the daily administrative operations of the counseling program.
  • Schedule counseling courses each term.
  • Review and revise program admissions requirements in collaboration with faculty and program leadership.
  • Collect and organize academic assessment documents on an ongoing basis for internal review and external accreditation.
  • Assist with the development, updating, and distribution of the Counseling Program Handbook.
  • Provide initial onboarding, mentoring, and support to new full-time and adjunct counseling faculty.
  • Assist in the review and evaluation of program applications and admissions materials, including video interviews.
Residency Oversight
  • Oversee the planning and implementation of Counseling Residency events in collaboration with the ILS/TL administrative assistant.
  • Coordinate faculty travel and hotel arrangements, meals, technology setup, signage, and all related logistical support.
  • Maintain a strong on-site presence during residency to monitor schedules, resolve issues, and ensure a high-quality experience for students, faculty, and others in attendance.
Accreditation & Reporting
  • Assist in the preparation of formal program reports, including the annual Academic Program Review and CACREP reports.
  • Collect and report exit data from graduating students.
  • Assist in compiling survey and observational data from residencies and make recommendations for program improvement.
Internship and Practicum Support
  • Support the Clinical Coordinator with managing all CACREP-required documentation related to practicum and internship experiences.
  • Collect and verify student documentation such as FBI background checks, criminal record clearances, child abuse clearances, proof of malpractice insurance, and supervisor credentials.
  • Maintain site supervisor contact lists and prepare supervisor packets and evaluation forms each semester.
  • Provide training for site supervisors
  • Organize, log, and securely store student and site paperwork and evaluations.
  • Provide Tevera training and assistance to faculty and students
  • Respond to student inquiries and assist with licensure paperwork processing.

Qualifications

Required Qualifications:
  • Bachelor's Degree in a related field.
  • Minimum of 2 years of professional experience in higher education, counseling administration, or a related field.
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to manage multiple projects simultaneously while meeting strict deadlines.
Preferred Qualifications:
  • Doctorate in Clinical Mental Health Counseling, School Counseling, or a closely related field.
  • Familiarity with CACREP standards and clinical documentation processes.
  • Experience coordinating counseling residencies or practicum placements.
  • Experience using Blackboard LMS, Microsoft Office, Google Workspace, and survey tools.
  • Knowledge of licensure processes and state/federal requirements for counseling professionals.

  • Excellent organization, prioritization, and multitasking skills.
  • Demonstrated attention to detail, accuracy, and confidentiality.
  • Strong computer skills and ability to design publications and forms.
  • Professional judgment in managing sensitive and time-sensitive tasks.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience communicating effectively with diverse stakeholders (faculty, students, administration, community partners).
