Job Summary
Manage the daily operations and logistics of a major program or programs. Responsible for scheduling, planning, coordinating, and administering major programs.
Core Responsibilities
- Provides academic advising to current and prospective master's students regarding degree requirements, course selection, and academic policies.
- Guides students through program milestones such as course planning and graduation applications.
- Assists students with understanding academic standing, probation, and appeals processes.
- Connects students with appropriate campus resources for academic, professional, and personal support.
- Monitors student progress each semester to ensure timely degree completion. Identifies and reaches out to students at risk of academic difficulty or non-enrollment.
- Supports retention initiatives through proactive communication and individualized support.
- Reviews and approves course substitutions, petitions, and other requests, as needed.
- Reviews and processes student degree audits each semester to verify eligibility for graduation.
- Advises prospective students on program options, admission requirements, and application procedures.
- Participates in recruitment events, information sessions, and yield activities.
- Reviews applications and make recommendations for admission decisions in coordination with program.
- Develops and manages the scheduling of programs and special events.
- Develops and manages the production of program materials ensuring quality and timelines are maintained.
- Works with teaching faculty to ensure curriculum is revised and updated as needed. Ensures changes are made to the student materials and online courses.
- Works with supervisor and other stakeholder groups on new program initiatives, to ensure professional and efficient operation of programs are being met.
- Manages staff for program operations and logistics.
- Conducts information sessions for our programs on a semester basis, follows up with potential students, and tracks conversion rates.
- Acts as a representative of the College during all programs, membership associations, and conferences.
- Performs other duties as assigned.
Required Qualifications
- Bachelor's degree from an accredited college or university.
- Three (3) years of experience in program management or related experience.
- At the department's discretion, additional education may be substituted for experience on a one-for-one basis.
- This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.
Knowledge, Skills, and Abilities
- Demonstrated independent decision-making and problem-solving ability.
- Tact, diplomacy, and judgment are necessary in dealing with others.
- Able to develop and implement goals and objectives aligned with the program's mission.
- Excellent written and oral communication skills.
- Understanding of program management techniques and methods.
Working Conditions
- Office environment.
- Ability to travel to and from meetings, training sessions, or other business-related events.
- Occasional after-hours and weekend work or overtime may be required.
Physical Demands
- Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
- Exerts up to 30 lbs. of force occasionally.
