The University of Tennessee's Career Gateway is look to fill the temporary position of Administrative Specialist for the Tickle College of Engineering.


The Engineering Professional Practices department is seeking to immediately fill an Administrative Specialist to assist the Assistant Director with the day-to-day office operations.

This position will be located at the front desk answering phones, checking co-op emails, sort incoming mail, mailing letters and packages, process invoices, facilitate purchasing contracted services, creating schedules for events, assisting with student questions, and posting jobs in ProConnect. To provide event support, the administrative specialist books rooms, record attendance, order catering, organize parking/transit, place facilities work orders as needed, complete entertainment forms, and print name tags. The role will also order office supplies, copy paper, books, giveaways, and padfolios/journals as needed to maintain inventory.


The ideal candidate must be able have the following abilities:

  • Ability to work independently and as a member of a team
  • Strong organizational skills to create and maintain and communicate Outlook calendars, coordinate, and schedule meetings
  • Excellent written and verbal communication skills to provide customer service at the front desk and event support
  • Ability to interact with a diverse group of individuals
  • Knowledge of general expense reporting policies
  • Working knowledge of Microsoft Office 365 (Word, Excel, Powerpoint, Teams) & Zoom
  • Ability to learn and use a variety of software systems

Education/Experience:

Highschool diploma or GED with a minimum of 1 year of experience or a combination.

Preferred Education/Experience:

Academic experience, IRIS experience; Experience working with students. Proficiency in Chrome/Google Applications (Calendar, Forms, Sheets, etc.) and Adobe Suite (Acrobat, InDesign, Photoshop)


Length of Assignment: Approx. 5-6 months

Work Schedule: Monday through Friday 8:00am to 5:00pm.

Salary : $29,500 - $37,300
