Job Description Summary
The University of South Alabama’s Department of Sociology, Anthropology, and Social Work is seeking to hire a Secretary IV. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
- Provides administrative support for the Department of Sociology, Anthropology and Social Work.
- Coordinates scheduling of classes for the department, collaborating with the department chair, faculty, and program directors to create the class schedule, secure classroom space, and assign appropriate teaching formats.
- Ensures the department is securely opened and closed each day in coordination with other staff, faculty, and student workers.
- Works with the department chair and faculty to manage advising lists, process course overrides, respond to student inquiries (in-person, by email, or phone) and relay requests to the appropriate faculty.
- Coordinates and sends requests to web services and assists faculty with submissions for websites of the Department of Sociology, Anthropology and Social Work and the BSW (Bachelor of Arts in Social Work) Program.
- Co-manages departmental records and files with the Secretary V as directed by the department chair and program directors and by following department and university policies and procedures.
- Assists with hiring, training and managing student office workers.
- Manages and sorts emails from departmental accounts by forwarding to appropriate faculty as needed.
- Manages student paperwork, including routing to appropriate department(s) for processing and maintaining accurate records.
- Compiles requested reports using Banner 9, Learning Management Systems (LMS) and other software as directed.
- Regular and prompt attendance.
- Ability to work schedule as defined and overtime as required.
- Related duties as required.
