Position Summary
This position serves as the primary point of contact at the department’s reception area, managing mild daily traffic while handling mail distribution, conference room scheduling, phone calls and general office management needs. The Administrative Specialist is also responsible for ordering and maintaining office supplies to support faculty and staff. In addition to these core administrative functions, the role dedicates a significant portion of time to assisting with the coordination and execution of strategic projects across the department’s clinical, educational, and research missions, requiring strong organizational skills, attention to detail, and the ability to work collaboratively with diverse stakeholders
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
- Entry-level experience in accounting or bookkeeping, including basic financial record maintenance and transaction processing
- Experience with records management, ensuring accuracy, organization, and compliance with established procedures
- Strong oral and written communication skills, with the ability to clearly convey information to diverse audiences
- Effective problem-solving capabilities, including the ability to analyze issues and implement practical solutions
Management Preferences
- Experience managing front desk or reception duties in a professional environment.
- Strong organizational and time management skills, with the ability to prioritize multiple tasks efficiently.
- Experience coordinating meetings, scheduling conference rooms, and managing calendars.
- Knowledge of office supply management and vendor coordination.
- Experience supporting project coordination or execution, particularly in educational, clinical, or research settings.
- Familiarity with basic accounting, bookkeeping, or budget tracking processes.
