Job Summary

The LSA Facilities and Operations Department at the University of Michigan is searching for a Facilities Assistant to join our team and support the newly renovated historic Ruthven Building and adjacent Central Campus Classroom Building (CCCB). The Ruthven Building will be home to the University’s Administrative Offices (President, Provost, and Executive Officers) and contain academic and research space and a testing center for students. The newly constructed Central Campus Classroom Building has seven state-of-the-art classrooms and a 570 seat auditorium. This is a new position, reporting to the Ruthven Building Manager, and will support these facilities activation, development, and continued operations.

Ruthven is similar to a corporate office building with several community spaces - multiple kitchens with commons areas, workrooms and twenty-four conference rooms of various sizes, outfitted with technology for in-room display and video-conferencing. Ruthven will house University Hall - an event facility with pre-function space, green room and a catering kitchen - that will first-and-foremost host the monthly Regents’ Meetings and other large events (banquets, symposia and conferences) sponsored by the units that reside in Ruthven.

The CCCB is a classroom building, and thus, a student-focused facility. Unlike Ruthven, the majority of the population is transient throughout the day and evening, with a dedicated small on-site AV staff presence. The building hours will likely differ from Ruthven, as classes are scheduled into the early evening, and the many collaborative spaces may be attractive and available to students resulting in extended building hours.

This position will regularly interact with senior leaders, faculty, staff, and students across departments, colleges, and units. For a growth-oriented individual interested in a career path in higher education, this position provides an exciting opportunity to experience the full breadth of the university, support the University’s Administrative offices, and build professional connections.

Salary range is $45,000 to $57,000. A higher salary may be possible based on the qualifications and experience of the selected candidate.

Responsibilities*

Facilities Maintenance and Building Cleaning Services

  • Manage and maintain the internal Ruthven and CCCB maintenance request process/ticketing system and keep requesters informed of the status of their requests through completion. Identify maintenance concerns and correct and/or report any concerns.
  • Conduct daily building walkthroughs to assure cleanliness and proper furniture setup of classroom, open circulation spaces and conference rooms.
  • Work closely with U-M service units in the oversight and coordination of activities related to facilities maintenance and cleaning.
  • Provide conference and classroom support, including room setup and AV support.

Event Support

  • Support event management for the Ruthven and CCCB buildings.
  • Collaborate with building support team, IT and event organizers to advise of facility usage and setup for building events.
  • Assist with setup and breakdown of furniture for building events.

Administration and Operations

  • Work in collaboration with the Building Manager to establish and implement building processes and procedures.
  • Assist with the implementation of operational procedures and norms.
  • Assist the Building Manager with responding to operational requests from occupants and guests of Ruthven and the CCCB.
  • Support the management, oversight and maintenance of the building mailroom.
  • Assist and support the establishment of sustainable measures and programs unique to the needs of each of the buildings.
  • Support the operations management of the shared dock for Ruthven and CCCB.
  • Assist with the establishment of the Building Incident Response Team (B.I.R.T)
  • Coordinate Risk Management claims.

Required Qualifications*

  • High School diploma or equivalent is required.
  • Minimum of 2 years previous work experience in facilities operations or equivalent experience in a similar field.
  • Ability to routinely move equipment and furniture up to 50 pounds.
  • Demonstrated ability to manage multiple tasks, meet multiple deadlines and workcollegially and collaboratively in a team environment.
  • Willingness to contribute to a positive work community by approaching work with diversity, equity, and inclusion in mind; treat others with respect, dignity and in a manner where individuals feel they belong; listen, value feedback and learn from the perspectives of others.
  • Exceptional customer service skills and ability to communicate clearly and professionally with a diverse clientele base.
  • Demonstrated ability to exercise discretion with sensitive and confidential information is required.
  • Ability to successfully work independently as a critical member of a team, while demonstrating cooperation and flexibility.

Desired Qualifications*

  • Bachelor of Science in facilities related field - Engineering, Architecture, Facilities Management, Construction Management, or certification in project management.
  • Past higher education experience in Operations.
