As part of the U-M Medical School Administration team, this position will support the Office of Continuing Medical Education and Lifelong Learning (OCMELL), Office of Medical Student Education (OMSE) as well as provide some financial support to the Senior Associate Dean for Medical Education (SADME)

The position will ultimately be accountable to the SADME but will assist with day-to-day management of budgets, budget analysis, and financial reporting with in OCMELL and OMSE.

This role will involve generating and maintaining an awareness of each funded project's budget, progress, and anticipated spending needs, and supporting the unit?s financial objectives. Activities required in this role will also involve participation in project meetings and active outreach with budget coordinators.

Responsibilities*

  • Provide support in the development and execution of budgets and financial planning for OCMELL, OMSE and the senior associate dean for medical education.
  • Utilize monthly statement of activity reports to maintain project and program budget tracking spreadsheets, develop models in support of financial decision-making processes, and participate in long-range forecast exercises. Work with Medical School finance to troubleshoot identified financial issues.
  • Partner with U-M Procurement to develop and process vendor contracts/agreements. Process vendor invoices through the creation of requisitions/purchase orders; reconcile invoices against agreements and project budgets.
  • Monthly review of statement of activity, detail, and gross pay register statements to verify accuracy.
  • Work with unit-based financial staff to understand budget expense variances and initiate corrections on individual funded projects.
  • Coordinate service unit billing (SUB) including processing monthly billing, maintenance of a tracking system to ensure accounts are being charged appropriately, providing excellent customer service by answering SUB questions, and completion of rate renewal requests.
  • Process financial transactions such as accounts receivables, travel reimbursements, journal entries, and non-PO vouchers. Partner with U-M Shared Services and utilize existing financial transaction services to improve unit transaction efficiencies.
  • Assist in execution of annual Internal Controls Certification and update of departmental documentation.
  • Provide information to project leads for their financial analyses, enabling productive dialogue with leadership.
  • Work with the Operations Manager for OCMELL, and Director of OMSE to develop formal budget allocation, monitoring, and stewardship guidelines and expectations, to assure regular attention to financial matters.

Required Qualifications*

  • Bachelor's degree in Business with specialty in Accounting, Finance, or other related business fields plus 2 years of related finance or budget management experience.
  • Proficiency in Excel and file storage portals and comfortable with changing technologies.
  • The successful candidate will work closely with medical school leadership, cultivating trust with a variety of constituents.
  • Demonstration of effective oral and written communication skills and strong interpersonal skills are required.

Desired Qualifications*

  • Familiarity with UM budget and expense accounting models and processes and capability to generate journal entries, create and distribute financial reports, and develop custom reports as requested.
  • Familiarity and experience with University administrative and business tools such as Finance BI, eReconciliation, Business Objects, MReports and other MPathways systems, Concur, and Data Warehouse.
  • Demonstrated ability to work independently and as part of a collaborative group.
  • Ability to set priorities, handle multiple assignments and deadlines with minimal supervision, while operating in a flexible and professional manner, with exceptional attention to detail.
