The II is seeking a team member responsible for coordinating the office of its Global Projects Centers group. II Global Projects Centers group comprises: Donia Human Rights Center and Wallenberg Medal and Lecture program, Center for Middle Eastern & North African Studies, African Studies Center, Center for Latin American & Caribbean Studies, and Global Islamic Studies Center. The Administrative Coordinator collaborates with staff and faculty in the centers and the Global Projects Business Manager to support the activities related to the centers' projects and activities.

Responsibilities*

Administrative Support (50%)

  • Provide high-level administrative support and expertise to the Centers and Business Manager.
  • Oversee telephone and mail systems, assist with directors' calendars as needed, and maintain specialized e-mail lists (including MCommunity). Provide expert administrative support to the Global Projects Centers directors.
  • Organize and oversee mailings (e.g., newsletters and development mailings). Assist with communications in centers' email inboxes as needed.
  • Respond to phone and email informational requests. Oversee office spaces including organization, tracking office supply inventory, ordering supplies, identifying space needs, scheduling rooms, and efficiency recommendations.
  • Provide administrative support for incoming visiting scholars at the Donia Human Rights Center/ Wallenberg Medal and Lecture Program and the African Studies Center.
  • Work with programmers on publicizing events (promotional materials, e-mail, flyers, and invitations). Prepare and execute mass mailings and other high-visibility communications.


Programming Support and Event Planning (30%)

  • Assist with travel and logistics for faculty and staff as needed. Assist with travel and logistical arrangements for guest speakers, and other international visitors as needed; help process required visas and other supporting documents and liaise with the International Center as needed.
  • Assist with programming initiatives. Schedule meetings, assist with planning conferences and other events (e.g., faculty meetings, annual receptions, etc.) as needed.
  • Help with organization of student-related events, including graduate student orientation, graduation reception, and others.
  • Provide support for high-profile annual events including the Wallenberg Medal and Lecture.
  • Coordinate with LSA Finance and HR and Shared Services Center to support center activities.


Advancement Support (10%)

  • Support centers in their development efforts by supporting Giving Blue Day and other annual development activities (prepare guest lists and invitations, catering, room scheduling, etc.).
  • Process gifts and deposit checks following LSA Finance policies and procedures.
  • Maintain alumni and donor databases that are used for mailings and solicitations.


Grant Data and Reporting Support (10%)

  • Assist with grant preparation and reporting.
  • Monitor and maintain faculty and alumni data.


Required Qualifications*

High school education and two to four years of experience or an equivalent combination of education and experience. Familiarity with academic program administration. Demonstrated organizational and interpersonal skills, excellent communication and English language skills. Ability to work occasional evenings and weekends. Ability to handle a variety of tasks and meet deadlines. Knowledge of Microsoft Office and Google Workspace required.

Desired Qualifications*

Bachelor's degree in a relevant international or area studies field or an equivalent combination of education and experience. Familiarity with University of Michigan policies and administrative procedures. Fluency in a foreign language. Previous experience in program and event planning. Experience in development and fundraising activities.

Work Schedule

40 hours per week Monday through Friday with occasional night/weekend hours.

Work Locations

The College of Literature, Science, and the Arts has a flexible and hybrid work policy. Work may be performed on campus and remotely as approved by the supervisor. During the academic year, the Administrative Coordinator is expected to be on campus a minimum of 3 days per week, with possible additional flexibility during the summer.

Additional Information

The salary range for this position is 41,400 to $51,700.
