Position Overview Under limited supervision, the Operations Coordinator facilitates departmental and organizational operations within Patient Care Services. This role supports project planning, data analysis, financial monitoring, and administrative coordination to keep departments running smoothly and efficiently.

Key Responsibilities

  • Assist in planning, developing, and coordinating projects within Patient Care Services, including scope identification, budget preparation, and tracking progress and deadlines
  • Work independently to develop work plans, synthesize data, analyze outcomes, and prepare reports for ongoing process and outcome review
  • Support managers and directors in collecting and evaluating financial and statistical data; monitor expense accounts and assist with projections and financial summaries
  • Liaise with vendors, third-party agencies, and outside consultants; process relevant paperwork and submit expenditure requests and vendor invoices as needed
  • Ensure timely completion of biweekly timekeeping activities; monitor and maintain staff schedules and payroll records in compliance with UMMC policies
  • Analyze Kronos and ANSOS patterns and collaborate with managers to implement process improvements; generate routine time and attendance reports
  • Enter charges into the STAR billing system accurately and reconcile against source documents; investigate and resolve discrepancies
  • Monitor department compliance reports including employee health requirements, evaluations, licensure, and certifications; assist managers with quality and safety reporting as needed

Work Experience

Education & Experience

  • Bachelor’s Degree in Business, Finance, Accounting, Health Care Administration, or a related field required OR Equivalent years of work experience may be substituted for education on 1:1 basis.
  • Healthcare related experience preferred.

Knowledge, Skills And Abilities

  • Highly effectively oral and written communication skills are required in order to work with diverse levels of management and clinical staff, both inside and outside of the organization.
  • Strong interpersonal communications and team building skills.
  • Knowledge of business terminology, spelling, punctuation and grammar.
  • Proficiency in standard computer applications including MS Office suite applications (graphics, database, word-processing, and presentation software), use of related peripheral equipment, and the ability to learn project-related software.
  • Ability to understand, analyzes, synthesize and manage highly complex information.
  • Ability to work collegially within complex systems, take initiative to appropriately identify resources, and maintain a mature and professional working environment. Sensitivity to internal political issues and confidentiality are required.
  • Critical thinking and time management skills is a must. Ability to work effectively and improvise when approached with immediate deadlines and unprompted changes to project plan.

Compensation

Pay Range: $21.50 - $30.12
