Work Environment
This position is primarily on site, providing support to faculty and residents. The position may be eligible for a hybrid schedule after a training period and with supervisor approval.
Required Qualifications
Education: High School Diploma or GED
Work Experience: 3 years of administrative experience
Preferred Qualifications
Education: Bachelor’s degree in education, business, healthcare administration, or related field
Work Experience: Experience in graduate medical education, academic administration, or healthcare settings
Skills

Job Description
Job Duties:
Residency Program Coordination (85%)
- Assist in coordinating, communicating and updating the master rotation schedule for pediatric residents
- Coordinate electives, away rotations, and individualized learning experiences with residents and faculty
- Coordinate onboarding requirements with affiliated hospitals and training sites
- Schedule required resident training and certifications (e.g., NRP, PFCCS, standardized patient encounters)
- Organize weekly didactics, case conferences, and other training as needed and/or required
- Assist in coordinating residency program events including graduation, retreats, and team-building activities
- Respond to requests for residency verification and program information
- Assist the Program Director in maintaining compliance and updated program information across all platforms
- Maintain resident training records and documentation required for accreditation and certification
- Track resident duty hours, conference attendance, and completion of required training
- Prepare reports and documentation for program evaluation, accreditation reviews, and institutional reporting
- Assist with residency recruitment including communication and all interview logistics during recruitment season
- Assist with coordination of orientation and onboarding activities for new residents
- Coordinate resident evaluations and rotation feedback
- Coordinate In-Training Examinations including scheduling, proctoring, and distribution of results
- Update and maintain residency information on the department website
- Provide administrative support to the Residency Program Director, leadership team, faculty and department as needed
- Attend department and education meetings as requested
- Participate in professional development and residency administrator training opportunities
