Duties and Responsibilities

  • Serves as a senior-level manager for the Office of Admissions, providing strategic and tactical direction for the entirety of the admissions operation as it serves undergraduate and graduate students. Will provide particular attention and focus to the campus experience and Admissions events, which includes but is not limited to: managing the Welcome Center, directing and executing on-campus programs, and organizing and executing Admissions events on- and off-campus.
  • Serves as a key and lead member of the Admissions leadership team to effectively manage the Admissions resources and carry out the mission, Admissions strategic plan, and Enrollment Management strategic plan.
  • Provides the Director of Admissions and leadership team with best practices, policy and procedure analysis, advisement, and recommendations to enable effective management decisions.
  • Advises the leadership team of anticipated problems, major policy changes expected, impact on resources, and impact of responsiveness.
  • Participates in strategic planning and development of activities including strategies to meet current and long-term organizational goals and objectives.
  • Recommends changes in program policies and standard operating procedures to improve operations to achieve effectiveness and efficiencies and maximize use of resources and talent.
  • Serves on special committees or task groups as requested by the Director of Admissions and other entities within the University system.
  • Develops, manages, and executes Campus Experience strategies for undergraduate and graduate programs. Campus Experience includes all Admissions programming taking place on campus and managing the Welcome Center. Constituents for these strategies includes, but is not limited to: prospective students, applicants, parents/family members, admitted students, deposited/matriculated students, and school/college counselors.
  • Responsible for developing and disseminating the Campus Experience programming calendar of events to campus partners as well as prospective, admitted, and deposited undergraduate and graduate students.
  • Collaborates with Manoa's Director of Marketing on communication and marketing content related to Campus Experience programming for Admissions electronic and print collateral.
  • Responsible for monitoring and updating Admissions website content related to Campus Experience events and programming.
  • Manages the email accounts, phone lines, in-person inquiries, and online tour reservation system.
  • Manages, develops, and oversees the logistics and execution of Admission events on- and off-campus.
  • Responsible for budget and fiscal duties related to Admissions events, such as contracts, agreements, and procurement management.
  • Collaborates with Manoa's Director of Marketing on communication and marketing content related to on- and off-campus events for Admissions electronic and print collateral.
  • Provides recommendations to the Enrollment Management division regarding strategies related to Admissions events for undergraduate and graduate students.
  • Reviews and evaluates student applications. Renders admission and scholarship decisions in alignment with admissions and enrollment management strategies.
  • Leads, conducts, and participates in recruitment activities and events for prospective and/or admitted/matriculated students. These activities and events may include, but are not limited to: admission information sessions, college fairs, high school visits, on-campus events, and events for other constituents that support students through the college search process (i.e.: parents, college counselors).
    • Prepares and develops the Admissions budget in collaboration with the Director of Admissions. Prepares expenditure plans and variance reports as requested.
    • Monitors expenditures according to budget plan. Advises and recommends options and alternatives on budget management, especially as it relates to Campus Experience and Events programming.
    • Manages the process (recruitment, hiring, training, job evaluations) of approximately 20 student staff members who carry out the work related to the Campus Experience and managing the Welcome Center.
    • Responsible for the strategy, coordination, and implementation of the Student Fellowship program.
    • Supervises staff in the daily operations of admissions functions, with a particular focus on staff that are responsible for Campus Experience and Events functions.
    • Provides leadership in staff development and training, with a particular focus on training related to Campus Experience and Events functions.
  • Works outside of normal business hours, including nights, weekends and holidays as needed.
  • Travels to various locations for special projects or events.
  • Other duties as assigned.

    Minimum Qualifications

    • Possession of a baccalaureate degree in business administration, education, higher education administration, or related field and 6 year(s) of progressively responsible professional experience with responsibilities for any or multiple of the following areas: project management, personnel management, operating budget, and campus events; or equivalent education/training or experience.
    • Advanced and comprehensive knowledge and understanding of a wide range of developing and emerging concepts, principles and methodologies of the assigned project management, personnel management, operating budget and/or campus events.
    • Comprehensive knowledge and understanding of a wide range of principles, theories, federal and state laws and systems associated with project management, personnel management, operating budget and/or campus events.
    • Demonstrated ability to understand problems from a broad interactive perspective and use reasoning to discern underlying principles and issues when problem solving, and apply creative thinking to resolve problems in new and unprecedented approaches.
    • Demonstrated written and verbal competence in presenting ideas, concepts and models clearly using persuasion and negotiation to build consensus and cooperation.
    • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
    • Demonstrated ability to operate a personal computer and apply word processing software.
    • For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
    • Extensive knowledge of admissions, campus experience programming, recruitment, and ethical practices typical of an institution in higher education.
    • Extensive knowledge of effectively leading teams, especially related to event management and campus programming.
    • Extensive knowledge and ability to administer and coordinate programs.
    • Ability to drive safely/responsibly/independently to various locations in a timely manner. Requirement may be fulfilled by a valid Hawaii driver's license (Class B), comparable driver's license, or other means of transportation which meets office needs.
    • Extensive knowledge and ability to deal tactfully and affirmatively with others.
    • Demonstrated ability to direct and manage professional staff.
    • Demonstrated ability to provide effective leadership and implement innovative and efficient changes.
    • Ability to work outside typical business hours, including evenings, weekends, and holidays.
    • Extensive experience working with students, faculty, and administrators in both secondary and higher education.

    Desirable Qualifications

    • Considerable knowledge of the University of Hawai`i system and its policies, procedures and practices.
    • Experience and knowledge of policies and regulations of UHM as applied to the recruitment of students, including diverse ethnic, socioeconomic students.
    • Knowledge and experience of the student information system utilized by UHM.
    • Master's degree in educational administration/counseling, social sciences, or related field.
