SUMMARY

UD is currently seeking a part-time Administrative Assistant who will work closely with the Institute for Homiletics team to ensure efficient operations of the Institute and its interactions with those it serves. This Administrative Assistant will be responsible for handling the office interfaces of the Institute.

PRIMARY RESPONSIBILITIES

· Provide administrative support to the Institute for Homiletics team.

· Maintain efficient office operations for the Institute for Homiletics. Greet visitors. Manage correspondence and mail. Organize files. Maintain databases. Coordinate UD facility reservations. Maintain equipment and office supplies.

· Monitor and update confidential files for participants in the Institute’s programs as needed, including tracking participation and entering and filing of self-evaluations, coaching notes, and parish survey results.

· Assist in coordinating the Institute’s financial processes: Process check requests and requisition requests. Maintain deposit records. Reconcile credit card expenses. Send invoices. Submit expense reports,

· Compile reports and record minutes for the Institute for Homiletics Board of Directors meetings; participate in and document staff team meetings, brainstorming and planning sessions.

· Provide administrative support for Institute for Homiletics programs and retreats. Schedule transportation as needed.

· Interact regularly with the executive director and the team; prioritize and follow up on incoming questions, issues, and concerns.

· Serve as a liaison with University of Dallas staff to coordinate and streamline administrative processes.

· Additional duties as assigned.

REQUIRED SKILLS AND ABILITIES

· A strong understanding of office automation practices, procedures and equipment, and standard records maintenance procedures.

· Team spirited and mission oriented.

· Skilled in composing correspondence.

· Flexibility to adapt to constantly shifting demands, as well as exercise independent judgment and decision-making in the absence of direct supervision.

· Ability to work independently on complex and confidential tasks.

· Proficiency in all Microsoft Office programs, including Word and Excel, Google Docs/ Forms/Drives.

· A high degree of confidentiality is essential.

PREFERRED QUALIFICATIONS

· Four-year degree preferred but not required.

· Office administration experience strongly desired.

· The ability to fluently speak, read, and write in Spanish and English is helpful but not required.

ADDITIONAL INFORMATION

· May require some weekend or evening hours to support events hosted by the Institute.

· Hours scheduled can be flexible.

· Occasional travel may be involved.

· Some degree of remote work is possible, coordinated in discussion with the supervisor.
