What are the responsibilities and job description for the Events Manager position at University of Central Arkansas?
The Events Manager at Reynolds Performance Hall is responsible for scheduling, processing, organizing, executing, and invoicing any rental events in the theatre. Also, coordinates specific needs of Public Appearances shows with artists before their arrival to ensure all catering and hospitality needs met and then serve as runner/host during events. Organize processes for event success such as creating work orders, show set ups, building maintenance, etc.
Job Duties and Responsibilities
- Maintains calendar and updates online web based calendar, receives and processes event requests
- Processes rental contracts for external groups, creates invoices and oversees collections for internal and external groups
- Works with internal and external groups to ensure that all logistical, equipment, and building needs are met, communicates to staff event information requirements
- Coordinates specific needs of Public Appearances shows with agent, road manager, artists before their arrival; this includes hotel, food, transportation, piano tuning, etc.
- Communicates to staff event information and requirements
- Coordinates logistical requirements for events with university support services such as UCA Police, Aramark, Physical Plant, Brewer Hegeman Conference Center, etc.
- Creates work orders, tags building inventory, and key management Maintains databases and prepares annual and special reports Purchases departmental and event supplies, maintains Green Room
- Maintains databases (Filemaker Pro, Excel) and prepares periodic, special, and annual reports such as event information, billings, invoices, accounts billable and receivable, etc.
- Maintains and purchases office supplies and other needed supplies
- Maintains and inputs pcard purchase information into system
- Coordinates DEBUT auction inventory and administrative tasks
- Serves as House Manager and/or manager assistant when needed
- Assists Finance Director with purchase orders and reconciling event budgets
- Performs other duties as assigned to assist the success of Public Appearances

Must be able to work a flexible schedule including nights and weekends.

Bachelors Degree required, experience in event management preferred
