DEPARTMENT OVERVIEW

The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation.

The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

JOB SUMMARY

Under the general supervision of the Assistant Director of Front Line Operations, the incumbent is responsible for the evaluation and analysis of academic records from individuals applying for undergraduate admission to the University of California, as well as continuing UC Santa Cruz students. The incumbent interprets and applies a wide variety of faculty-approved policies to determine an applicant's UC eligibility, if an applicant has met the UC Santa Cruz selection criteria to be admitted to the campus, and other Academic Senate policies that govern admission and graduation at UC Santa Cruz.

In addition, the incumbent is responsible for the processing, maintenance, confidentiality, and security of applicant and student records. The incumbent works as a member of the Front Line Operations team to provide on-going maintenance to student records and articulation rules in the campus Academic Information System (AIS), as well as providing support to other areas within the Office of Admissions. This involves consultation on issues of policy interpretation and implementation. Effective performance in these areas involves a thorough working knowledge of all aspects of Undergraduate Admissions, as well as knowledge of UC system-wide regulations and processes.

JOB DUTIES

35% -
  • Interpret and apply UC faculty-approved guidelines governing undergraduate admission and the awarding of transfer credit for new and continuing domestic students.
  • Determine eligibility status for undergraduate transfer applicants from the California Community College system and other institutions, using knowledge of system-wide policies governing admissions, UCSC faculty-approved guidelines for admissions, and reference materials such as ASSIST, the statewide articulation database.
  • Determine applicants to be selected for admission in accordance with UCSC Academic Senate policies. Determine candidates to be referred for special consideration (including special populations), or denied admission, and update applicant status in the Academic Information System (AIS). Use internal guidelines to determine appropriate preparation for the applicant's
  • major.
  • Provide on-going maintenance of hard-copy and electronic files; evaluate new or updated information from the system-wide Shared Review tool, e-mails, correspondence or other communications from applicants concerning matters that may affect applicant eligibility; forward cases for additional review as needed.
  • Evaluate applicant self-reported records for approval or denial to the campus Transfer Admission Guarantee (TAG) program, designed for students directly transferring from one of California's community colleges.
  • Evaluate appeals from students who were not originally offered admission to UC Santa Cruz.

20% -
  • Evaluate and determine transfer credit for new, continuing and readmitting UCSC students, including application to the campus general education requirements. Adhere to UC Academic Senate guidelines and local UCSC Committee on Educational Policy (CEP) in the awarding of transfer credit and general education requirements.
  • Determine transfer credit and apply general education requirements for International Baccalaureate (IB) exams. Check for duplication with Advanced Placement (AP) Exams, previously taken college courses and language other than English restrictions.
  • Analyze records and other documents concerning transferability of course from non-community colleges for entry into the Evaluation Data System (EDS).

20% -
  • Input all transferable credit in AIS, reconciling any discrepancies that exist from Admissions-built transfer credit rules.
  • Analyze student application materials to determine complete educational history. Update educational history into AIS, determining which official transcripts and records are needed to complete a student's admission to UC Santa Cruz.
  • Receive and process applicant and student transcripts/records/correspondence, including updating education history. Determine authenticity of transcripts employing system-wide guidelines;
  • code applicant specific records/correspondence for retrieval and further processing; compare self-reported academic record against official transcripts identifying discrepancies for further evaluation as needed.
  • Input all transferable credit and completed degree requirements in AIS, with a high degree of accuracy. Initiate and update other information in AIS, that results in direct communication through the MyUCSC portal.
  • Analyze and update course-to-course articulation rules in AIS for transfer courses offered within the California community college system, using UC and UCSC faculty approved guidelines for articulated course work.

  • Receives and processes incoming correspondence, including physical mail and email. Ensures that the department responds to all correspondence in an appropriate and timely manner.
  • Counsels and consults with prospective students, parents, high school and community college personnel regarding admission eligibility and selection guidelines. Responds to complex and general admission inquiries concerning requirements, application status, appropriate academic preparation, and interpretation of transfer credit towards degree progress to students and campus constituents as required.

REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or combination of equivalent experience / training.
  • Knowledge and experience working with a diverse student population.
  • Experience communicating effectively orally and in writing for a variety of settings (individually and in group settings).
  • Knowledge and experience using standard computing tools including Microsoft Office applications, on-line databases, email, and web-based research tools.
  • Excellent organizational and time management skills; experience working in the context of frequent interruptions and/or distractions.
  • Experience multitasking in a fast-paced environment with rapidly changing priorities.
  • Experience working with confidential records and information.


PREFERRED QUALIFICATIONS
  • Working knowledge of academic programs, including curricula, admissions requirements at UC.
  • Experience and knowledge of student recruitment, academic programs, or other educational activities
  • Working knowledge of Oracle/Peoplesoft Student Administration System, as well as other student-based computing environments.
  • Experience with the ASSIST web site (statewide articulation web site).
  • Knowledge of languages other than English.


SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work occasional evenings and weekends.
  • Ability to move materials weighing up to 30 lbs. with or without accommodation.
  • Must comply with all UC, UCSC and Office of Admissions policies and procedures, such as travel and entertainment.
