DESCRIPTION

As a member of our Facilities Planning, Design, and Construction Team, the System Administrator (Construction Systems) supports the System Administrator Lead in administering, maintaining, and continuously improving the health system’s construction management technology environment across three hospital campuses and offsites. This role requires deep experience in healthcare construction operations, construction project lifecycles, and construction software administration.

The System Administrator III serves as a functional and technical expert for the construction management platform(s), with a strong preference for Trimble Unity Construct experience. The role partners closely with Project Managers, Planners, Finance, Supply Chain, Contracts, Campus, and external vendors to ensure systems, processes, and reporting align with organizational standards, California GAAP, California contracting laws, and UCOP requirements where applicable.

The System Administrator will also work in collaboration with internal resources to design, develop, and maintain internal systems/document control architecture (SharePoint), file folder management, Project Management Handbook, and change control.

Key Responsibilities:

Construction Systems Administration- Support the administration, maintenance, configuration, and enhancement of the construction management software ecosystem, with primary focus on Trimble Unity Construct (or equivalent platforms).- Partner with the System Administrator Lead on system architecture decisions, upgrades, integrations, and roadmap planning.- Perform regular system health checks, data integrity reviews, and process quality audits.- Manage user roles, permissions, workflows, and security configurations in alignment with organizational policy.

Process Design & Continuous Improvement- Design, document, and implement construction business processes based on stakeholder needs, project manager feedback, and operational best practices.- Develop and refine invoice workflows to ensure compliance with GAAP standards applicable in California, internal controls, and audit requirements.- Design and maintain contract intake and approval workflows that comply with California contracting laws, UCOP standards, and internal procurement policies.- Identify process gaps and recommend system or workflow enhancements to improve efficiency, accuracy, and compliance.

Reporting & Data Management- Develop and deliver standard and ad-hoc reports for capital leadership, finance teams, project managers, and executive stakeholders.- Ensure reporting accuracy, consistency, and alignment with financial and capital governance standards.- Support project cost tracking, commitments, change orders, and forecasting visibility through system reporting.

Training & User Support- Provide at-the-elbow training and ongoing support for Project Managers, Planners, and external vendors using construction management systems.- Serve as a day-to-day escalation point for system process questions, issues, and optimization opportunities.- Create and maintain training materials and user guides tailored to construction roles and workflows.

SOP & Governance Alignment- Collaborate with the Document Control Analyst to create, review, and maintain Standard Operating Procedures (SOPs) related to construction systems and processes.- Ensure SOPs align with the organization’s Capital Management Charter, Project Management Handbook, governance standards, and compliance requirements.- Support internal and external audits by providing documentation, system evidence, and process explanations.- Practice and reinforce good change management practices.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Information Systems, Construction Management, Engineering, Business Administration, or a related field (or equivalent experience).
  • Three (3 ) years of experience supporting construction management systems in a healthcare construction environment or equivalent education/experience.
  • Proven experience as a construction software administrator, including system configuration, workflows, and reporting.
  • Direct experience with invoice and contract lifecycle processes in construction environments.
  • Strong understanding of California GAAP, construction accounting practices, and internal controls.
  • Knowledge of California contracting laws and experience working within regulated or public-sector environments.

PREFERRED QUALIFICATIONS

  • Hands-on administration experience with Trimble Unity Construct is strongly preferred.
  • Experience supporting capital programs within academic medical centers or UC-affiliated health systems.
  • Familiarity with UCOP policies and standards related to contracting and capital projects.
  • Advanced reporting skills and experience supporting executive-level dashboards.
  • Experience partnering with document control teams and capital governance bodies.

Pay Transparency Act

Annual Full Pay Range: $100,100 - $187,500 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $47.94 - $89.80

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
