Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team at the Gloria J. Parks Community Center! This vital role offers an exciting opportunity to support daily office operations, enhance efficiency, and contribute to a positive work environment. Performs a variety of administrative and staff support duties which require a range of skills and knowledge of organizational policies and procedures. Greets and directs all visitors, including vendors, clients, job candidates and members. Ensures completion of proper paperwork, sign-in and security procedures.
Duties
- Scheduling & Preparation of rooms for meetings.
- Assure that materials for meetings and training sessions and other activities of the organization are prepared accurately and in a timely manner.
- Gather data for program participation for Community Development Block Grant.
- Record attendance records for Senior Program and Youth Program.
- Assisting Program Directors in the creation of Program Calendars, Flyers, tickets, etc. for Youth and Senior Programs.
- Supervises the maintenance of membership and other general mailing databases.
- Monitor building security from front desk reception area as needed.
- Maintain schedule for Front Desk coverage
- Greet and direct visitors, answer main telephone system, respond to direct requests for information and/or forward messages to appropriate staff. Make sure the reception area is kept in orderly and clean fashion.
- Receive and distribute all incoming mailing and coordinate outgoing mail.
- Coordinating the requisition of both office and janitorial supplies for the organization.
- Provides administrative support to the Executive Leadership & such as filing, data entry, mass mailings, letter writing, etc.
- Arrange for smooth flow of evening activities: problem solve to the extent possible, Contact Executive Leadership if emergency arises. Report all incidents or accidents on appropriate forms.
- Monitor and assign tasks for Community Service workers & Volunteers who report to the center. This includes maintaining all paperwork and reporting requirements for these workers.
- Processes the receipt of Cash/Check payments to the organization.
- Aid in the creation of monthly newsletter using information provided by Program Directors
Requirements
- Proven clerical experience with a solid background in office management and administrative support.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and fluent with Excel spreadsheets and data entry.
- Excellent computer literacy and technical proficiency in office productivity software.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Prior experience with front desk duties, customer service, or personal assistant roles is preferred.
- Exceptional phone communication skills coupled with good typing speed for effective correspondence.
- Demonstrated time management skills with the ability to meet deadlines consistently.
- Post secondary education in business, or office management is desirable

Pay: From $18.00 per hour
