The ideal candidate has excellent computer skills, is fluent in Microsoft 365/Office 365 applications, and can work independently with outside companies to ensure compliance, cost control, and seamless access for our users. This role is a great fit for candidates right out of college or with limited professional experience who bring strong skills, initiative, and a process-driven mindset.

What You'll Do
- License Inventory and Compliance
- Maintain accurate records of software licenses, entitlements, and usage across vendors and products.
- Monitor compliance and ensure we meet contractual, audit, and legal obligations.
- Track assignments, expirations, true-ups, and usage to prevent over- or under-licensing.
- Vendor and Contract Management
- Serve as the primary point of contact with software vendors, resellers, and external partners.
- Coordinate quotes, renewals, purchase orders, and contract terms in partnership with Procurement and Legal.
- Resolve billing, entitlement, and portal access issues with vendors.
- Renewals, Optimization, and Cost Control
- Proactively manage renewals and negotiate pricing where appropriate.
- Identify opportunities to rationalize licenses (e.g., reclaim unused, right-size tiers).
- Ensure purchases and/or renewals remain in line with budget objectives
- Prepare dashboards and reports on spend, usage, savings, and risk.
- Microsoft 365 Administration (non-technical, license-focused)
- Administer user license assignments and changes in Microsoft 365 admin portals.
- Maintain groups, roles, and basic configuration relevant to licensing and access.
- Support access requests, onboarding/offboarding, and entitlement changes.
- Processes, Documentation, and Audits
- Create and maintain SOPs, checklists, and documentation for license management processes.
- Support internal and external software audits, providing accurate data and evidence quickly.
- Partner with IT, Security, and Finance to align on policy, governance, and reporting.
- Stakeholder Support
- Respond to internal requests for software access; verify needs and provide guidance on the right license tier.
- Communicate clearly and professionally with outside companies and internal stakeholders.
- Provide regular status updates on renewals, compliance, and risks.
- Education: Bachelor’s degree preferred (Business, IT, Information Systems, Finance, or related). Equivalent experience considered.
- Experience: 0–2 years; internships or project experience in IT, procurement, or operations are a plus.
- Office 365/Microsoft 365: Strong fluency with Outlook, Excel, Teams, SharePoint, OneDrive; familiarity with the Microsoft 365 admin center is a plus.
- Technical/Analytical Skills:
- Advanced Excel skills (pivot tables, lookups, basic formulas, data cleansing).
- Comfort with web-based vendor portals and data exports.
- Strong attention to detail and data accuracy.
- Communication and Organization:
- Excellent written and verbal communication skills.
- Ability to work independently, manage multiple deadlines, and coordinate with outside companies.
- Mindset:
- Process-oriented, proactive, dependable, and comfortable with repetitive tasks and precise recordkeeping.
- Willingness to learn licensing models and vendor terms quickly.
- Exposure to software asset management (SAM) tools or IT asset management processes.
- Familiarity with license models for common vendors (Microsoft, Adobe, Atlassian, etc.).
- Basic understanding of ITIL practices and audit/readiness concepts.
- Certifications: Microsoft 365 Fundamentals (MS-900), Certified Software Asset Manager (CSAM), or similar.
- Microsoft 365 (Excel, Teams, SharePoint, PowerPoint, Outlook, OneDrive).
- Vendor licensing portals (e.g., Microsoft, Adobe, etc.).
- Internal ticketing/request systems and procurement tools.
- Optional: SAM/ITAM systems or BI tools if available.
- On-time renewal rate and avoidance of service disruptions.
- License utilization and reclamation rate (percentage of unused licenses reclaimed).
- Cost savings achieved through right-sizing and vendor negotiations.
- Audit readiness (accuracy and completeness of license inventories).
- SLA adherence for entitlement requests and onboarding/offboarding.
