About United Water Inc.

United Water Inc. is a manufacturer and wholesale distributor of residential and commercial water treatment equipment. We serve plumbing wholesalers, contractors, and water treatment professionals throughout the Western United States.

We are a growing, locally owned company known for high-quality equipment, responsive technical support, and long-term customer relationships. We are looking for an organized and capable professional to help lead our daily operations, support our customers, and improve coordination across the company.

Position Summary

The Operations & Sales Coordinator will serve as the central point of coordination between sales, accounting, purchasing, production, inventory, warehouse operations, shipping, and customer service.

This is not a traditional administrative assistant position. You will work directly with the President and an established team responsible for accounting, billing, shipping, receiving, and warehouse operations. Your role will be to keep priorities clear, ensure responsibilities are followed through, improve communication, and create systems that provide accountability and visibility across the business.

You will also support equipment sales by preparing quotations, following up with customers, coordinating distributor requests, and ensuring orders move smoothly from initial quote through production and shipment.

The right person will be comfortable taking ownership, following up with both customers and coworkers, and identifying operational issues before they become larger problems. This position has significant potential to grow into an Operations Manager role as the company expands.

Key Responsibilities

Sales and Customer Support

  • Prepare equipment quotations and supporting documentation
  • Follow up on open quotes and customer opportunities
  • Respond to incoming customer and distributor calls and emails
  • Coordinate requests for pricing, specifications, lead times, and technical documents
  • Maintain accurate customer, quotation, and order records
  • Communicate order status and resolve routine order issues
  • Develop strong working relationships with distributors, contractors, and vendors
  • Escalate technical questions and major decisions to company leadership when appropriate

Operational Coordination

  • Coordinate priorities across sales, production, purchasing, accounting, and warehouse operations
  • Work with existing staff to keep customer orders moving from approval through shipment
  • Maintain visibility into open orders, production status, material needs, lead times, and shipping schedules
  • Lead regular operational check-ins and follow up on assigned responsibilities
  • Identify potential delays, missing information, inventory shortages, and other operational risks
  • Help establish clear ownership and deadlines for projects and daily responsibilities
  • Coordinate special orders, warranty requests, and other projects requiring multiple departments
  • Provide the President with concise updates on priorities, problems, and decisions requiring attention

Team and Process Leadership

  • Help manage daily workflow and accountability across accounting, billing, shipping, receiving, and warehouse functions
  • Establish practical systems for tracking responsibilities, deadlines, and completion
  • Ensure communication between departments is consistent and documented
  • Help create and maintain standard operating procedures
  • Identify inefficient or unclear processes and recommend improvements
  • Support employees in resolving workflow and communication issues
  • Help build an organized and accountable operating structure as the company grows

Reporting and Administration

  • Track key operational and sales metrics
  • Prepare reports on open quotes, orders, lead times, inventory needs, and other priorities
  • Maintain organized digital and physical records
  • Assist with vendor and purchasing communication
  • Support accurate order entry and documentation
  • Work with accounting staff to ensure sales, billing, purchasing, and order information remain aligned

What Success Looks Like

Within the first year, the successful candidate will:

  • Create clear visibility into open quotes, customer orders, production priorities, and shipping commitments
  • Ensure customers receive accurate and timely communication
  • Improve follow-through and accountability across departments
  • Reduce delays caused by missed communication or unclear ownership
  • Document and improve key operating procedures
  • Become the primary point of contact for many routine operational and customer matters
  • Reduce the President’s involvement in daily coordination while appropriately escalating technical, financial, and strategic decisions

Desired Qualifications

  • Three or more years of experience in operations, inside sales, wholesale distribution, manufacturing, office management, or customer service
  • Experience coordinating the work of multiple employees or departments
  • Strong organizational and follow-through skills
  • Excellent written and verbal communication
  • Ability to professionally hold people accountable and address incomplete work
  • Sound judgment and the ability to solve routine problems independently
  • Strong attention to detail, particularly when working with pricing, specifications, part numbers, and customer orders
  • Comfortable learning technical products and terminology
  • Proficiency with Microsoft Office, including Excel
  • Experience with QuickBooks, CRM, ERP, inventory, or order-management systems is preferred
  • Manufacturing, wholesale distribution, plumbing, or water treatment experience is a plus
  • Ability to manage competing priorities in a small-business environment
  • Positive, practical, and team-oriented approach

You may be a strong operations coordinator, inside-sales professional, office manager, or assistant operations manager who is ready for greater responsibility and long-term growth.

You do not wait for every task to be assigned. You notice when a quote needs follow-up, an order is at risk of being delayed, or a responsibility has fallen through the cracks—and you take the next appropriate step.

You are comfortable working with an experienced team, establishing expectations, and following up respectfully but consistently. You enjoy improving systems and bringing organization to a growing business.

Compensation and Benefits

  • $55,000–$65,000 annually, depending on experience
