Position Overview:
We are currently seeking a Project Administrator / Estimator to provides administrative, estimating, and project support for commercial and industrial spray foam insulation, spray polyurethane foam (SPF) roofing, and fireproofing projects. This role is responsible for preparing accurate estimates, assisting with project startup and closeout, coordinating project documentation, and supporting field operations to ensure projects are completed safely, on schedule, and within budget.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining excellent communication with customers, vendors, subcontractors, and internal teams.
Estimating Duties:
- Search plan rooms and review bid requests for applicable project.
- Analyzing requirement documents, blueprints, and project plans to gain a thorough understanding of the project requirements.
- Assist with budgeting and value engineering opportunities.
- Maintain estimating databases and historical cost information.
- Attend pre-bid meetings and site visits as needed.
- Preparing material & labor estimates the projects
- Using bid data to prepare detailed cost analysis
- Presenting prepared estimates to management prior to submission.
- Follow up on submitted proposals
Administrative Duties:
- Prepare project startup documentation.
- Create project files and maintain organized electronic records.
- Assist with contract review and document management.
- Process submittals, RFIs, change orders, and closeout documents.
- Track project schedules, milestones, and deliverables.
- Coordinate material orders and delivery schedules.
- Assist with permit applications and project compliance documentation.
- Maintain project correspondence and meeting notes.
- Support project managers with administrative tasks.
- Website and Social Media updates.
- Assist with marketing and brand awareness.
- Maintain professional communication with clients, architects, general contractors, and suppliers.
- Respond promptly to customer requests.
- Assist with project meetings and status updates.
- Build positive working relationships with customers and business partners.
Qualifications
- 3 years of estimating experience (spray foam, roofing, fireproofing, or specialty contracting preferred)
- Strong understanding of commercial/industrial construction processes
- Experience reading blueprints and technical specifications
- Knowledge of SPF roofing systems, insulation applications, and/or SFRM/IFRM fireproofing products preferred
- Proficiency in Microsoft Office, Plan Rooms, estimating software, Procore, Adobe
- Strong organizational and communication skills
- Valid driver’s license
Preferred Requirements:
- Experience with take-off and estimating software such as Estimating Edge (or similar)
- OSHA 10
- Industry Experience in Framing, Insulation, Roofing, Fireproofing, and Coatings/Painting

Pay: $70,000.00 - $80,000.00 per year
