Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for advisors and staff
- Manage client communication, appointments, and follow-up to ensure excellent customer service experiences
- Handle vendor management tasks such as coordinating supplies, services, and maintaining professional relationships with external partners
- Maintain accurate bookkeeping records using accounting software like QuickBooks; perform routine reconciliations and financial data entry
- Assist with budgeting processes by monitoring expenses, tracking commissions, preparing reports, and ensuring financial compliance
- Support human resources functions including file management, and confidentiality of sensitive information
- Maintain complaince with industry and regulatory requirements by assisting with audits, licensing updates, and regulatory reporting.
- Ensure compliance with office policies and procedures while maintaining high standards of organization through filing systems and document management
Qualifications
- Proven experience in office management or administrative roles within a financial or office setting
- Strong understanding of financial advisory or insurance office operations
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with advanced spreadsheet skills for budgeting and reporting
- Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and basic accounting principles required
- Excellent communication skills—both verbal and written—with a professional phone etiquette style
- Ability to handle confidential information discreetly while demonstrating strong organizational skills
- Experience with vendor management, event planning, calendar management, and multi-tasking across diverse responsibilities
- Technical proficiency in office equipment such as multi-line phones, fax machines, printers, and medical or financial software applications
